B’nai Mitzvah Program Coordinator/Cantor Executive Assistant

Congregation B’nai Jeshurun is a large, active Reform congregation in Short Hills, NJ. We are looking for a kind, personable, customer-service oriented person with strong project management skills to serve as B’nai Mitzvah Program Coordinator and Clergy Assistant.

The B’nai Mitzvah coordinator serves as the primary point of contact for families throughout their Bar/Bat Mitzvah experience. This journey begins in 3rd grade with the assignment of a service date and culminates in the Bar/Bat Mitzvah service.

The position requires strong time management and people skills, close attention to detail, excellent communication skills. This position reports to the Cantor and works closely with the Rabbis, Educators, and Operations teams to manage all aspects of the B’nai Mitzvah experience.

While this position does not execute all of the necessary tasks, this person is the liason with all departments to ensure a seamless experience for this important milestone.

B’nai Mitzvah Coordinator

Congregant Relations
Communicate with families about all issues related to B’nai Mitzvah.
Regularly connect with families to check in, resolve issues and ensure general satisfaction throughout the B’nai Mitzvah journey.

Act as liaison between B’nai Mitzvah families and Clergy and Staff, when appropriate.
Provide information to families about all weekend Shabbat services including Friday night service participation and schedule for Saturday B’nai Mitzvah service.


Scheduling of all B’nai Mitzvah related appointments for the Cantor/Cantorial Intern such as family meetings, bimah rehearsals and dress rehearsals.
Ensure a smooth process with parents, tutors, and clergy.
Provide instruction to Rabbis assistant regarding the scheduling of appointments for D’var Torah and Honors meetings.
Assign B’nai Mitzvah dates and manage Master B’nai Mitzvah calendar.
Work with families who need to change dates/service location and ensure that date changes are communicated to all departments and updated on all calendars
Manage the schedule for the tutoring staff and work with tutors to track progress and number of sessions.
Work with finance department to collect and submit payroll for tutoring staff

Tutoring binders
Class handouts
Rabbis honors sheets

B’nai Mitzvah certificates

Cantors’ Executive Assistant


Receive & return calls
Manage Cantors’ calendar
Prepare and print all paper correspondence for the cantor including:

Weekly congrats letters to all B’nai Mitzvah students/parents.
Thank you letters for discretionary fund donations
Condolence letters
Generation of monthly birthday/anniversary letters.
Travel arrangements for conferences

Finance Business

Expense Reports
Reimbursement Forms
Program Invoices
Discretionary Fund Support

Lifecycle Management

Administrative support for lifecycle events such as funerals, weddings, and baby namings.
Pre/Post-work (mikvah appts, marriage license mailing, etc)
Communication with members about scheduling of lifecycle events.

Creation, maintenance and digitization of files as needed.
