About the organization: Temple Beth Avodah is a nurturing and progressive Reform synagogue in Newton, MA. Our congregation consists of approximately 425 families engaged in Jewish life and learning across diverse ages and stages. About the position: The Office Assistant is the primary administrative support for the synagogue and interacts with a wide variety of people on a regular basis. This position includes administrative duties, technical support, and interactions with congregants and visitors daily. The Office Assistant must have experience with and/or ability to quickly learn Microsoft Office, customer relationship management systems, basic web services, and other such software. A friendly and supportive demeanor combined with an ability to be efficient and effective is essential in this role. The Office Assistant supports the staff and reports to the Temple Director.

Duties & Responsibilities:
Administrative
Perform general office duties such as ordering supplies, maintaining office equipment, filing and retrieving documents, and maintaining records
Open, sort and distribute incoming correspondence, including mail and email
Perform administrative duties and support for the Rabbi, Temple Director, and professional staff as requested
Assist with meeting and program preparation including the production of documents, attendee lists, nametags, meals, reminders, etc., as requested by the professional staff
Enter meetings, conferences, and other programs and activities onto the calendar including descriptions and webpage/form links ensuring there are no scheduling conflicts
Perform basic bookkeeping tasks including recording and tracking fees and payments
Create and track rental agreements and payments

Technology
Provide Information Technology support including troubleshooting computer issues, basic software installations, and contacting consultant as necessary
Manage the staff shared documents drive including regularly creating folders and sorting documents appropriately
Schedule video streaming system recordings and manage storage of recordings
Serve as the primary contact for customer relations management system

Member Relations
Receive and direct telephone calls and visitors at the door in welcoming manner while maintaining security protocols
Receive and file membership applications, add members to distribution lists and database, and notify staff of changes in membership status
Assist with Caring Community including inputting information into database for follow up
Assist with administrative aspects of life cycle events and holidays such as intake forms, certificates, honors, and gifts

Communications
Provide communications support including proofing emails and materials, creating bulletins, and sending emails
Create and manage constant contact distribution lists
Assist with coordination of content for emails and other publicity from staff and lay leadership and write content as requested
Create and manage sign up forms including ensuring payments are recorded in the appropriate budgets
Manage memorial notifications, donations, and other such communications with congregants

Qualifications
Bachelor’s degree required
Strong interpersonal skills and willingness to work on a team
Excellent verbal and written communication skills
Highly organized and able to manage time for efficiency
Resourceful and adapts easily to changes and ongoing needs
Proficient computer skills and ability to learn new software
Knowledge of basic Reform Jewish practice preferred but not required
