Advancement Assistant, Advancement Department & Head of School’s Office
Full Time, Non-Exempt Position
The Advancement Assistant is responsible for supporting the efforts of the Advancement Department and Head of School, working to support the strategic initiatives of the school. The position will report to the Director of Advancement and the Head of School. The Advancement Assistant must be independent, proactive, and energetic; have excellent time-management and organizational, verbal and written communication skills and be able to work well within a team.
-Manage and maintain donor data including gifts, pledges, gift adjustments, and biographical information into Raiser’s Edge database. Process gift and pledge acknowledgment letters within a timely manner and run donor reports
-Assist in the coordination of logistics for advancement and head of school events and meetings, including but not limited to donor appreciation events, annual gala, and board/committee meetings.
-As appropriate, oversee invitation mailings, event registration, program and refreshments and act as main staff liaison for day of event.
-Support meeting set up including room reservations, ordering catering and producing materials
-Assist with Development specific tasks including, but not limited to maintaining strategic calendar of annual fund outreach, donor stewardship, and impact reports. Collaborate with committee members, event co-chairs and volunteers
-Liaise with Day School business office to reconcile fundraising campaign accounts
-Maintain and assist in the development of Alumni program
-Perform research of returned mail/incorrect contact information in a timely manner, maintain updated information in Raiser’s Edge
-Manage Head of School and Director of Advancement’s calendars, including scheduling and adjusting meetings as needed
-Assist in special projects including, but not limited to, the strategic plan, annual report, accreditation, and record keeping
-Other responsibilities may be assigned as needed by the Director of Advancement or Head of School
-Education or experience equivalent to a Bachelor’s degree with preference for client services or analytical/data-based discipline
-Experience with Blackbaud’s Raisers Edge strongly preferred
-Exceptional verbal and written communication skills
-Strong database, spreadsheet skills and ability to make both quantitative and qualitative decisions
-Excellent interpersonal skills and strong attention to detail
-Ability to manage multiple projects and prioritize effectively
-Ability to maintain strict confidentiality
-Ability to establish and maintain a variety of record and filing systems
-Flexibility to work events and programs when required, which may fall outside of normal business hours
-Experience working at a school a plus
Hourly salary range $23-$26/hour depending on experience.
Successful completion of fingerprint clearance, TB screening and satisfactory reference check.
