Synagogue Secretary/Administrative Assistant
Shaarei Tikvah (“ST”) is a progressive, engaged Conservative community in Scarsdale, NY. Our community of almost 200 members has grown 18% in the past two years. We’ve been described as Westchester’s “hidden gem”, and we expect our growth will continue. This role, reporting to the Synagogue Operations Manager, is part of a restructuring of our office team to support our growing membership and to provide administrative assistance to our wonderful clergy (Rabbi Adam Baldachin and Cantor Gerald Cohen) and dynamic education director (Rachel Mann).
This position requires an individual who possesses a warm, articulate, engaging personality, a can-do attitude, excellent verbal and written communication skills, and attention to detail. A minimum of two (2) years’ administrative support experience required. Strong computer skills necessary, including Word, Excel, Publisher and CRM software. Fluency with MailChimp, Chaverware/ShulCloud, HebCal a plus. Familiarity with Judaism and the Conservative Jewish calendar is required.
This is a non-exempt full-time position. Due to synagogue activities, including Hebrew School, hours are Mon/Wed 10:30 am - 6:30 pm, Tues/Thurs 9:00 am-5:00 pm, Fri 9:00 am-4:00 pm. Annual salary range is $37-$40K, depending on experience. Job Duties & Responsibilities include but are not limited to:
General Office Support
? Answering phones, greeting individuals interacting with the office, serving as the first point of communication with existing and prospective members.
? Assisting lay leadership with administrative support for religious, social and fundraising events and programs
? Preparing weekly announcements, updating website, sending out morning minyan reminders, assisting with Gateway newsletter, sending yartzheit reminders.
? Preparing Shabbat materials for clergy and lay leadership.
? Tracking synagogue donations and sending acknowledgments.
Administrative support for Rabbi
? Scheduling appointments (congregants, B’nai Mitzvah, weddings, babynamings)
? Keeping track of lifecycle events, birthdays, anniversaries
? Tracking and helping schedule Torah & Haftarah readers
? Assisting with funeral arrangements for bereaved families (shiva minyans, meals, etc.)
Administrative Support for Cantor
? Scheduling B’nai Mitzvah lessons
? Providing administrative assistance for annual concert
? Updating cantor on congregants’ good and welfare
Administrative Support for Education Director
? Presence in the office during Religious School hours to assist parents and teachers as needed
? Coordinating school closing announcements and dismissal procedures
? Sending parent announcements through MailChimp
? Providing administrative support for annual school enrollment process
? Assisting with monthly education staff payroll
? Providing assistance with report card organization and mailing
