Position Overview
Our client is an “American Friends of ” organization. The Accounting Asociate supports the Controller and CFO in maintaining accurate and timely financial records. This role is essential for ensuring smooth daily accounting operations, processing payments, handling payroll, and assisting with financial reporting and audits. The Accounting Associate will be responsible for a range of duties, including cash reporting, accounts payable, journal entries, and monthly reconciliations. This is an in-office position, Monday-Thursday. Remote Fridays.

Key Responsibilities

Daily Financial Operations & Reporting

  • Perform daily cash reporting to monitor the organization’s financial position.
  • Responsible for Accounts Payable by processing all payments to vendors, including regular monthly obligations, and obtaining necessary signatures before forwarding payments to the mailroom.
  • Perform monthly bank reconciliations for all bank accounts, ensuring accuracy and completeness.
  • Prepare and post journal entries as needed for accurate financial reporting.
  • Process credit card donations and ensure proper allocation and documentation.
  • Track employee leave balances (vacation, sick, personal) and ensure accurate reporting.

Payroll & Employee Benefits

  • Process semi-monthly payroll through ADP, ensuring timely and accurate payroll distribution.
  • Ensure contributions to the retirement plan are processed semi-monthly.
  • Allocate monthly charges for all fringe benefits (health, dental, life insurances).
  • Allocate salary expense and process adjustments as needed (semi-monthly).
  • Order and distribute transit cards for employees who utilize the transit benefit

Year-End & Audit Support

  • Assist in the preparation of the Form 1099 MISC for independent contractors and other applicable recipients.
  • Provide requested schedules and documentation for budget preparation and updates, as requested by the Controller and CFO.
  • Assist in the annual salary reconciliation and provide necessary documentation for the audit team.
  • Analyze various accounts and provide requested documentation during audits.

General Administrative Support

  • Manage the ordering and inventory of office supplies and equipment for the office, ensuring that all departments have the necessary resources to operate efficiently.
  • Perform other tasks as requested by the Controller and CFO to ensure financial operations are maintained efficiently.

Qualifications & Experience

  • Bachelor’s degree in accounting, Finance, or related field (or equivalent experience).
  • Proficiency in Microsoft Excel and accounting software.
  • Experience with Microsoft Great Plains accounting software preferred.
  • High attention to detail, strong organizational skills.
  • Ability to handle confidential information with integrity and professionalism.
  • Strong communication skills, both written and verbal, to work effectively with team members and external parties.
Salary65,000.00 - 70,000.00 Annual
