Clergy Administrative Assistant
Congregation B'nai Israel (CBI)

Overview:
Congregation B'nai Israel is seeking a positive, dependable, and team-oriented Clergy Administrative Assistant to support the day-to-day operations of our clergy offices. This role is ideal for someone who thrives in a warm, fast-paced, and mission-driven environment.

You’ll work closely and collaboratively with the Senior Clergy Administrator to ensure smooth and thoughtful support of the Rabbis and Cantor. Flexibility, discretion, and a can-do attitude are essential. While key responsibilities are outlined below, this role evolves with the needs of the clergy and congregation — and we’re looking for someone who’s eager to jump in and grow with us.

Primary Responsibilities Include:
Note: Not every task listed will fall under your regular duties, and other responsibilities may arise as needs shift. Teamwork and adaptability are key!

  • Manage and maintain clergy calendars and schedule appointments
  • Coordinate B’nai mitzvah tutoring sessions (in-person and Zoom)
  • Send weekly lifecycle reminders to clergy and staff
  • Prepare Shabbat materials including bimah sheets, yahrzeit, and mishebeirach lists
  • Assist with planning, scheduling, and communication for adult education classes, including room and tech setup
  • Respond to congregational inquiries (phone/email) regarding clergy and lifecycle events
  • Assist with catering needs for clergy programs and events
  • Handle ordering, invoicing, and credit card receipts related to clergy expenses
  • Support clergy-led programming and event preparation
  • Submit facility and check requests as needed
  • Work in partnership with security and maintenance teams for smooth service and event operations
  • Maintain inventory and order books and supplies as needed
  • Support preparation for High Holidays
  • Assist with intake for weddings, baby namings, and funerals
  • Coordinate brick and plaque orders
  • Send monthly yahrzeit mailings
  • Order food for programs and congregants as needed
  • Collaborate with preschool and religious school staff to keep clergy calendars current
  • Assist in planning the B’nai Mitzvah Date Celebration
  • Support database updates in coordination with admin team
  • Partner with Marketing to prepare the Book of Remembrance for Yom Kippur

Key Qualities We're Looking For:

  • Able to maintain confidentiality and composure under pressure
  • Tech-savvy and comfortable with scheduling tools, databases, and communication platforms
  • Familiarity with Jewish customs and holidays is a strong plus

Experience Required:

  • Minimum of 3 years of experience in a non-profit or Jewish communal organization and/or administrative professional role
