Job Summary/Objective
The position reports directly to the Director of Administration and works closely with other departments within the Administration team. In this position, the person is the welcoming “face” of Ramat Shalom Beth Israel, therefore, needs to be highly organized and a strong communicator with customer service experience. All positions at Ramat Shalom Beth Israel require individuals be strong multi-taskers and independent problem-solvers who also work well under supervision.
Description
Hours: Monday 9am-5pm, Tuesday 10:30am-6:30pm, Wednesday 10:30am-6:30pm, Thursday 10:30am-6:30pm, Friday 9am-4pm (39 hours)
**Schedule can/will change during Holidays**
Full-time, FLSA classification (non-exempt and eligible for OT)
Expected to work on the High Holy Days.
Essential Functions include, but are not limited to the following:
Front Desk Responsibilities
· Answer the main phone line
· Welcome and announce visitors
· Check, respond, or forward all messages left on the main line
Office Responsibilities
· Manage the Clergy’s calendar and keep the synagogue calendar up to date to include B’nai Mitzvah dates
· Manage mail including: receive and distribute all incoming mail, post and mail all outgoing mail
· Assist with large mailings as needed
· Investigate any returned mail and update new information in our CRM
· Complete monthly inventory of paper/office supplies and order when needed
· Periodic filing, photocopying, and scanning for the Finance and Administrative departments
· Responsible for room bookings and food ordering for all internal Administration meetings and events
· Schedule internal meetings
· Draft correspondence answering general inquiries to the main phone line or email box
· Generate and mail donation acknowledgment letters
· Generate Yahrzeit List and send out notification letters
· Generate Friday Bimah Sheet
Periodic Responsibilities
· Assist with all High Holy Day preparations
· Must work all High Holy Day (“HHD”) services
· Assist in handling Non-Member HHD services inquiries
· Create profiles for Non-Members in our CRM
· Assist Director of Administration, Director of Outreach and Engagement, and Clergy on special projects
· Assist other departments as needed

Experience and Qualifications
· Administrative experience; detail-oriented with good organizational skills and
experience in event planning
· Computer Skills: proficiency in Microsoft applications including Word, Outlook, Excel, Teams, MailChimp and ShulCloud
· At least 1 year of experience in Administrative experience
· Strong verbal and written communication skills
· Ability to set and re-set priorities and multi-task effectively and independently in a fast-paced, team-oriented work environment
· Excellent Interpersonal Skills
· Detail oriented
· Experience with Jewish Culture and Community
