Position Summary: The Executive Assistant is a full-time staff member who supports and increases the capacities of the administrative, non-academic leadership at Gratz College. The Executive Assistant is a crucial lynchpin that connects the President’s Office, Office of Institutional Advancement and other senior staff tasked with growing Gratz’s local and broader partners and network. 

Location: In-person and Remote, Philadelphia Area 

Responsibilities 

Serve as initial point of contact for the Office of the President and the Board of Governors of Gratz College. This will include being the primary point of contact for the [email protected] contact as well as answering general phone calls directed to the College. 

  • Managing schedules and communications of select senior staff. 
  • Maintain the College’s calendars to ensure limited conflicts and streamlined approach to staff coordination. 
  • Helps furnish materials for high-level staff and board meetings 
  • Coordinates intake forms (such as W-9 forms) and contracts for vendors and consultants and coordinates with business office to coordinate disbursement of payment. 
  • Supports the institutional advancement team as needed
  • Support planning and coordination of staff travel, reimbursements, etc.  
  • Managing and organizing digital files for the college/maintaining accurate records, forms, and contracts 

 

Qualifications and Competencies  

  • High-level organization and interpersonal skills 
  • Strong capacity to multitask 
  • Proficiency in operating in a hybrid environment and using Microsoft Office Suite 
  • BA degree and some background in nonprofit or higher education work
