Description

The Administrator performs the day-to-day operations of the synagogue. They will work with the Board of Directors and staff, including the Rabbi and other congregational leaders, to ensure that the goals, objectives and policies established by the Board are carried out. The Administrator reports to the President of the Board of Directors or their designee.

Primary Duties:

Office Management - Objective: The Administrator will plan, organize, carry out, or supervise all day-to-day office activities. Duties include: Assure the maintenance of all office supplies, equipment, and technology. Maintain synagogue files, fiscal, and other administrative records. Assure that phones and emails are answered in a timely fashion. Keep systems and processes clearly documented and up-to-date.

Congregational Support - Objective: The Administrator will respond to various requests from members and potential members as well as assuring up-to-date information is available to the Membership Committee. Duties include: Keep member roster current, process new member applications, and oversee invoicing of members dues.

Board & Leadership Support - Objective:The Administrator will provide clerical and administrative support to the Board of Directors and the Rabbi. Duties include: Keep primary calendar up-to-date and visible with all synagogue events and meetings, including but not limited to monthly board meetings, annual budget process, Annual Congregational Meeting, High Holy Days, and other Jewish holidays. Support board in fundraising efforts.

Financial Management - Objective: The Administrator will be the primary liaison to our bookkeeping company. They shall oversee all day-to-day financial operations of the synagogue and coordinate with the bookkeeping company, treasurer, and accountant as needed. Duties include: Utilize CRM software (EasyShul) to process accounts payable invoices, generate checks, and maintain all accounts payable files; process all accounts receivables among other duties.

Events Management - Objective: The Director of Operations will work with and assist congregational leaders and staff in tasks and duties related to Shabbat, holiday and services and events held at the synagogue. Duties include: Oversight for logistical arrangements including facility staff and security; registration; mailings; ordering supplies; copying; volunteer staffing, and other duties.

Building and Grounds Management - Objective: The Administrator oversees management of the building and grounds. Duties include: Work with contractors and employees to ensure appropriate configuration of the sanctuary space, cleanliness, day-to-day upkeep, and timely repairs.

Educational Programs - Objective: Offer support as needed for youth and adult education programs. Duties: Work closely with staff and congregants. Coordinate room setup, tuition processing, offering administrative support as needed.

Familiarity with QuickBooks, Google Docs and Synagogue Management Software (such as EasyShul) a plus.
