We’re 18Doors, a fast-paced, national Jewish nonprofit with a collegial, warm, organizational culture and entrepreneurial spirit. We are the only national Jewish nonprofit laser-focused on understanding, connecting with, and communicating the needs of Jewish interfaith couples and families. We’re growing quickly, with a budget of about $3 million and staff and rabbinic fellows and alumni in over 30 communities around the country and in Canada. 

18Doors has a website full of essays, advice, resources, and recipes; programs for interfaith couples and families; a Jewish clergy referral service; a rabbinic fellowship program; and learning opportunities for Jewish professionals, clergy, and lay leaders. It is all designed to help couples and families to connect and build the Jewish life they want.

You know your way around managing projects and people and the schedule and demands that come with running a small but growing national organization. You inspire confidence with your discretion, excellent time management, executive functioning, and communication skills. You are proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and have experience with programs such as Asana – or similar project management software, Zoom, BILL, Salesforce and Canva, or are willing and able to learn them as well as other new technology. You can effectively manage up and are comfortable making phone calls on the organization’s behalf. 

This is a fully remote, 20 hour/week role at 18Doors. The position will report to the Chief Operating Officer.

 

Key Responsibilities & Essential Functions

  • Provide high-level administrative support to the Chief Operating Officer and the Chief Executive Officer, including travel arrangements, meeting and special events planning and logisticsand calendar management. 
  • Communicate effectively with the Board of Directors and committees; manage the administrationlogistics and material preparation for Board and Committee meetings; take minutes during Board and Committee meetings; assemble and distribute board materials; assist in coordination of Board travel as needed; organize and plan virtual and in-person Board Retreats. 
  • Work with the COO and staff to schedule, organize and facilitate weekly staff meetings. 
  • Assist with event planning for board meetingsstaff retreats and other events. 
  • Maintain contact with stakeholders, all staff, donors, and vendors. 
  • Manage vendor relationships and handle invoicing and reimbursement processes for all vendors and staff. 
  • Provide financial reporting support to the COO and outside accounting firm. 
  • Act as administrator for organizational systems such as Asana, Survey Monkey, BILLDivvy and the organization’s internal Outlook calendar systems. 
  • Provide support to Senior Leadership when onboarding and offboarding staff and Board members. 
  • General organizational support, including processing mail through a virtual service, answering phones, and preparation of routine and non-routine correspondence. 
  • General staff support, including managing staff birthday and anniversary recognition programs; scheduling assistance as needed. 

 

Experience and Qualifications

Requires a bachelor’s degree and 3-to-5 years of operations, administrative and project management experience in a nonprofit, corporate, business or law firm environment, or an equivalent combination of education and experience. Experience working within a nonprofit organization and familiarity with Jewish interfaith families or Jewish organizations is a plus.

  • Must be highly organized and extremely detail oriented. 
  • Outstanding prioritization and time management skills. 
  • Excellent interpersonal, written and verbal communication skills. 
  • Ability to set priorities, work independently, multi-task with regular interruptions, problem solve, maintain confidentiality and coordinate projects successfully. 
  • Proficiency with MS Office required, experience with programs such as Asana, BILLSalesforce, Divvy, and Canva preferred, and ability to learn new technologies. 
  • Experience managing the schedule and contacts of senior leadership. 
  • Comfortable with the ambiguity that sometimes occurs in a fast-paced organization, and flexible enough to meet changing demands. 
  • Personal commitment to building an inclusive Jewish community and understanding Jewish interfaith families a plus. 
  • Schedule may include some evening or weekend hours, as needed. 
  • Occasional travel for employee/Board events and retreats may be required.

  • 16 hours per year of paid time to volunteer for the organization or cause of your choice.
