Administrative Assistant

Hebrew & Judaic Studies Department

The Epstein School is seeking candidates to join our team as an Administrative Assistant to the Hebrew & Judaic Studies department. The ideal person is organized, detail-oriented, and self-motivated with extensive office management experience. They should have excellent written, verbal, and interpersonal communication skills and ability to control inventories, appointment schedules, and multiple projects.

Primary Essential Duties and Responsibilities:

  • Creating K-8th schedules for holiday programming and coordinating between the teachers.
  • Examples of holiday programs include (but are not limited to): The month of Elul, Rosh Hashanah, Sukkot, Simchat Torah, Hanukkah, Yom HaIvrit, Tu B ‘Shevat, Purim, Yom HaShoah, Yom HaZikaron and Yom HaAtzmaut.
  • Coordinating with other department program managers and Principals on events and programming.
  • Serving as project manager and primary point of contact for departmental special events and initiatives including handling the operational aspects of such events (Submitting Wufoo forms for resources; Organizing materials; Coordinating with the Ops Team regarding logistics, etc.)
  • Creating and managing activities/events led by the Shinshinim.
  • Filing and organizing students' assessments (1st-8th). Every student in grades 1-8 has a file and we perform periodic Hebrew fluency and reading assessments a minimum of three times a year. These files should be organized and updated in real-time. This data should be aligned with the school-wide Hebrew Levels tracker located in the Hebrew/JS office.
  • Generating and preparing Hebrew and JS material.
  • Most of our resources are made in-house. We prepare new materials & instructional resources such as: posters, games, interactive boards, pictures, Alef-Bait cards, vocabulary and more.
  • Preparing material for PD and parents' education sessions.
  • Organizing the Hebrew reading library located in the Hebrew/JS office.

  • Demonstrate professionalism in all job-related situations including interactions with students, parents, colleagues and community members
  • Build strong relationships with all stakeholders
  • Communicate students’ needs to all stakeholders
  • Promote a positive school environment that enhances student learning
  • Maintain a positive and collaborative climate across departments and grade levels
  • Proactively participate in school community programs and events
  • Perform other duties as assigned

Skills:

  • Demonstrates strong verbal and written communication abilities
  • Familiarity with Microsoft Office as well as other relevant educational platforms
  • Hebrew Fluency is a plus.

Education & Other Requirements:

  • Experience: Minimum of two years’ experience as an administrative assistant, or in an office support role.

Physical Requirements

  • Physical Requirements: The employee must be able to:
  • Bend, crouch, walk through the school, and move from standing to sitting on the floor and back.
  • Use hands and fingers to reach, grab, write, handle, feel & control objects, and type
  • See, talk and hear
  • Lift and carry objects including children up to 40 lbs.
  • Lightly clean and maintain equipment in the classroom
  • Work in a busy and occasionally noisy environment

About the Role:

  • FLSA: Non-Exempt, Benefits-Eligible, Salaried or Hourly (Full-time or Part-time options available)
  • Workdays: Monday through Friday (Actual work hours to be determined by supervisor but will generally occur between 7:45 to 4:00).
  • Reports To: Director of Hebrew and Judaic Studies
  • Salary: Commensurate with experience
