Title: Director of Events

Job Description: United Hatzalah of Israel is the largest independent, 100% free, fully-volunteer emergency medical services organization that provides first response care in Israel within minutes of the initial call of distress. The organization’s 8,000 volunteers receive 2,000 emergency calls per day and save thousands of lives in Israel every year.

Friends of United Hatzalah, a 501(c)(3) non-profit organization that supports the work of United Hatzalah of Israel, seeks a Director of Events to join our mission-focused, fast-paced environment that works every day to save lives and care for the people of Israel.

This full-time position, based in Manhattan on a hybrid schedule, will be responsible for leading a team of events professionals in planning and executing fundraising events throughout the United States. The Director of Events is the operational force behind all event programming and will work closely across all departments and staff to ensure the events department is consistently running at the highest levels of excellence to produce nearly 100 events of various sizes per year. The ideal candidate will be highly organized and process-driven, possess excellent interpersonal skills for interacting gracefully in all situations with senior staff, peers and major donors, and have a passion for Israel and our life-saving mission.

This is an in-office position and will require travel locally and nationally to oversee and manage events onsite, as well as some evening and weekend presence at events.  The position will report to the Vice President of Operations.

Responsibilities

  • Event Planning and Execution
    • Direct and manage all event planning, logistics, production, and execution.
    • Attend events as needed to direct and assist with all event set up, execution, and tear down.
    • Utilize event planning/task management platform to ensure timely execution of events.
    • Identify, select, and negotiate contracts with venues and vendors, cultivating and maintaining positive vendor relationships.
    • Ensure vendor compliance with contract terms.
    • Oversee planning and execution of major galas of 1,000 guests+ in New York, Miami, and Los Angeles.
    • Collaborate with fundraising team to support smaller to mid-size events in local markets.
    • Maintain highest level of service to ensure outstanding donor stewardship and event experiences.
    • Supervise graphic design department for high quality and timely production of event materials.
    • Review event planning progress on regular basis with VP of Operations.
    • Seek out opportunities to increase efficiency and effectiveness of events department.
  • Management and Leadership
    • Supervise, lead, and mentor events team staff, fostering a collaborative, creative and high-performance environment.
    • Deliver regular staff performance reviews and assessments.
    • Support the growth and success of all team members.
    • Model the highest standards of professional conduct and work product.
    • Expand the events team as needed to meet organizational growth.
    • Manage all administrative functions within the events department. 
  • Event Budgeting and Finance
    • Develop and maintain budgets across all events, tracking expenditures for all event budgets to ensure department is working within budget.
    • Ensure compliance with financial and other organizational policies and procedures across all events activities and staff.
    • Work closely with finance department to execute procedures across procurement and other finance-related areas.
    • Ensure timely and accurate submission of vendor documentation and invoicing.
    • Measure and track ROI for all events to inform strategic decision-making.

Qualifications

  • Minimum 10 years of experience and increasing responsibility in running major events.
  • Strong management skills with at least 3 years of experience managing a team of direct reports.
  • Expert knowledge of event planning, production, and execution.
  • Experience in bidding out, reviewing, and negotiating contracts.
  • Ability to manage multiple events and competing demands while maintaining highest standards.
  • Exceptional organizational skills and attention to detail.
  • Strong leadership, motivational and problem-solving skills.
  • Ability to anticipate problems before they arise, and deal with them professionally when they do.
  • Flexibility, adaptability, and ability to exude calm in high-stress situations.
  • Excellent and highly professional interpersonal and communication skills.
  • Bachelor’s degree.
  • Demonstrated use of event management/task management platforms for planning and executing events such as Asana, Monday.com or Cvent, preferred.
  • Strong computer skills, including MS Office (Word, Excel, PowerPoint), familiarity with Salesforce or other CRM, preferred.

 Compensation:  Salary range of $130,000-$150,000, with comprehensive benefits package including medical, dental, vision, life, retirement plan with employer match, and paid holidays/time off, as well as travel to Israel.
