Position Brief

The Administrative and Development Associate is a detail-oriented, organized, and proactive individual with strong database skills who serves as the primary support personnel for the institution. Primary responsibilities include ensuring smooth institutional operations, event planning (space reservations, ordering and setting up food), ordering supplies, maintaining and updating records, managing the donor database, and overseeing mailings. The ideal candidate for this position is resourceful, takes ownership and initiative, is flexible, can think ahead, and is responsive and driven to support Maharat’s mission. 

Reports to: Director of Finance and Administration and Director of Foundation and Donor Relations

Responsibilities

General Operations/Administration

  • General support to administration and senior faculty
  • Support Director of Finance and Administration with financial systems, including processing and depositing checks, uploading credit card receipts.
  • Office management, including checking and processing mail, ordering supplies, keeping offices and inventory organized, answering the main phone line and responding to voicemail, replying and forwarding emails sent to general email box
  • Maintain institutional calendars
  • Electronic file maintenance (Dropbox, Google Drive)
  • Maintain/update Maharat email addresses, Google groups, Slack, Zoom accounts, etc.
  • Manage events including ordering food, reserving building spaces, and set-up and break down
  • Works with Director of Academic Affairs to prepare and disseminate student contracts and contact and financial information
  • Manage accurate payment of student stipends
  • Generate postal and email address lists for all mailings (year end campaign, graduation, Rosh Hashana, special events)
  • Assists with travel arrangements
  • Co-manages logistics for annual student retreat, alumnae conference, and graduation
  • Handles gift purchases and order SWAG
  • Other duties as assigned

Development 

  • Process and track donations for annual fundraising campaigns and donors gifts; maintain data cleanliness and ensure the integrity of our database
  • Report and analyze data for fundraising campaigns; create weekly (and sometimes daily) fundraising reports during active campaigns, otherwise monthly data tracking
  • Prepare mailings and send gift acknowledgements, tribute letters, and tax letters
  • Support fundraising events, including taking reservations, maintaining guest lists, and managing donation records
  • Oversee event management software, forms, and donation uploads into DonorPerfect
  • Support the President and lay Development Committee with reports, supervised by Director of Foundation and Donor Relations
  • Serve as “on call” address for database requests
  • Other development related ancillary matters as they arise (i.e. employer matching grant applications)

Qualifications

  • Database experience, including DonorPerfect or another donor database, reporting facility with Google Sheets and Microsoft Excel, and ability to learn new software and systems, is required for this position. 
  • At least 3 years of experience in a similar role or 5 years operations experience and facility with databases and spreadsheets
  • Strong interpersonal skills 
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • A professional, flexible, entrepreneurial and resourceful attitude
  • Ability to take initiative and work both independently and as part of a team
  • Ability manage multiple tasks and projects

Details

  • In person Monday-Thursday; remote on Fridays
  • Attend very occasional evening events
  • Generous benefits package
  • Salary range: $50,000-$65,000
