Gan HaYeled Preschool, housed in Adas Israel Congregation, a bustling 1700-family synagogue and DC magnet for contemporary Jewish life and spirituality, seeks a School Program Manager. Primary responsibilities include overseeing the logistics and daily operations of the school (such as staffing, schedules, inventory, and facilities) as well as supporting the School Director and administrative team in a wide range of tasks. The position reports to the School Director.

The ideal candidate has strong executive function and self-organizing competencies, enjoys a fast-paced, social environment, and believes in the power of early education to meaningfully impact a child’s life.

Gan HaYeled is a warm, loving community space. We are joyfully Jewish, inclusive, Reggio-inspired, and antiracist. The preschool is full day, year-round, and hosts 120 children and 40 staff. The preschool also offers multiple points of engagement and support through its family center and multidisciplinary evaluation center.

This is a full time, year round job. Ideal hours are 7:30am-3:30pm. Location has on-site parking and is metro-accessible. Salary range broad and flexible, $50-70K, based on experience.

Responsibilities

Staffing:

  • Oversee daily scheduling of employees to ensure proper classroom coverage and ratios, including covering of scheduled and unexpected absences; maintain daily staffing calendar including approving and tracking time-off requests.
  • Collect and store employee data; create and maintain filing systems, both electronic and physical; collect and store child data
  • Provide HR orientation for new staff and organize and file their paperwork with HR and state licensing authority

 Communication:

  • Answer telephone calls and emails and direct them to relevant staff or information.
  • Greet and direct school visitors.
  • Prepare internal and external communications such as memos, emails, invoices, reports, and other correspondence; write and edit communications, from letters to reports and instructional documents.

Facilities:

  • With the Facilities Team, monitor school cleaning, office, and food supplies and order new as required; organize and maintain ongoing cleaning schedule and relay changes to building facilities team; effectively communicate maintenance and security needs to onsite maintenance and security staff.

Office organization & management:

  • Aid in scheduling meetings, appointments, and ongoing school needs and maintaining the school calendar.
  • Work with director on creating long- and short-term plans for annual and special school projects including annual parent events, school registration, and school maintenance projects.
  • Tracking office expenses and help the accounting department in processing payroll
  • Collect information and documents needed for maintaining license from Office of the State Superintendent of Education and ensure proper submission and maintenance of school license in collaboration with School Administrator.
  • Collaborate with Director of Family Center to ensure program registration forms and rosters are up-to-date and facilitate maintenance of family center spaces.
  • Maintain monthly program registration forms and rosters.
  • Collaborate on all office organization and management with the School Administrator
  • Other duties as assigned.
