For over 50 years, The Ark, has helped the Chicago Jewish community with various life situations, and continues to grow. We are seeking a Receptionist/Administrative professional to greet our clients, volunteers, and visitors in The Ark’s new Welcome Center, and to perform various administrative responsibilities for internal departments.

As the initial point of contact for our organization, this individual will create a positive, welcoming and helpful first impression with a sincere effort to assist all incoming visitors, playing a major role in setting the initial tone for the Ark. In addition, the ideal candidate will have excellent administrative/technical skills, strong time management and an aptitude for detail If you are a positive, compassionate professional having great phone etiquette, strong customer service skills, excellent calendar management, with the willingness to pitch in as needed—please read on:

Hours:

  • Monday – Thursday 9:00 AM-4:00 PM
  • Friday 9:00 AM-2:00 PM
  • Saturday The Ark is closed
  • Sunday Occasional request for coverage
  • All Jewish holidays The Ark is closed
  • Expected hours: 28 – 33 per week
  • Work Location: In person

Job Responsibilities:  

Receptionist Duties:

  • Greeting, welcoming, and directing visitors appropriately, notifying relevant employees upon visitor’s arrival
  • Register visitors in visitor-management system
  • Answer incoming calls, provide relevant information, answer questions, and transfer accordingly
  • Manage all-Ark calendar and serve as on-site coordinator for internal evening events and occasional outside guests using Ark meeting space
  • Practice discretion and maintain confidentiality of clients
  • Ensure Welcome Cener is presentable at all time

Administrative Duties:

  • Execute administrative requests from internal departments meeting deadlines
  • Accept/distribute mail and packages accordingly
  • Assist with Room Reservation System

Qualifications and Skills:

  • Bachelor’s degree preferred and/or 3 years’ experience
  • Strong communication and time management skills, with aptitude for detail, organization, and prioritization
  • High level of professionalism consistently showing respect or broad spectrum of individuals
  • Collaborative style able to multitask and adapt to changes smoothly
  • Proficient in Microsoft Office, including Microsoft Teams
  • Aptitude for learning new technology systems, including CRM system  (Salesforce) and High-Tech check-in system (Envoy) 

Physical Requirements:

  • Must have ability to work primarily in a seated position, lift up to 15 lbs., and have mobility to move throughout the building as needed
