A Camp Registrar will play a key role in increasing the new camper recruitment capacity of CYJ Midwest. This person will be responsible for managing the registration process, ensuring that all camper and staff information is collected accurately, and providing excellent customer service to prospective and enrolled families.

Job Title: Camp Registrar

Reports To: Camp Director 

Position Summary:

The Camp Registrar is responsible for overseeing all aspects of the camp registration process, ensuring a smooth and efficient experience for prospective families. The Registrar works closely with the Camp Director and other camp staff to manage camper and staff enrollment, communication, and record-keeping. This position requires strong organizational skills, attention to detail, and a passion for supporting a vibrant Jewish camp community.

Key Responsibilities:

  1. Registration Management:

    • Oversee the entire camper registration process, including online applications, forms, deposits, and payments.
    • Ensure all camper records are complete and accurate, including medical forms, consent forms, and emergency contact information.
    • Process registration forms, review for completeness, and resolve any discrepancies.
    • Maintain and update camper database, ensuring that all data is secure and accurate.
    • Coordinate with families to answer questions about the registration process, camp dates, fees, and policies.
  2. Communication:

    • Serve as the primary point of contact for prospective families regarding the registration process.
    • Communicate camp updates, important deadlines, and reminders to families through email, phone calls, and other channels.
    • Work closely with camp leadership to ensure families are kept informed about camp expectations, schedules, and requirements.
  3. Travel Coordination:

    • Determine travel needs of enrolled campers
    • Communicate with the Camp Director regarding transportation options and needs
    • Research appropriate vendors for transportation and complete reservations when appropriate
  4. Financial Processing:

    • Oversee the collection and processing of camper deposits and camp fees.
    • Assist with payment plans, scholarships, and other financial arrangements.
    • Ensure accurate records are kept for all transactions.
  5. Family Support:

    • Provide a high level of customer service, answering questions and resolving issues regarding camper registration, camp experience, travel to and from camp, and camp policies.
    • Connect families to appropriate staff for special needs and requests
    • Coordinate with staff members (e.g., medical staff, counselors, and programming teams) to ensure they have all relevant camper data.
  6. Administrative Support:

    • Assist with the creation and distribution of pre-camp communication (e.g., welcome packets, packing lists, etc.).
    • Help ensure that all camp records and documents are properly stored and accessible.
    • Maintain accurate records in CampMinder and transfer to Bloomerang as appropriate.
    • Assist with any other administrative tasks as required by the Camp Director.

Qualifications:

  • Experience: 2+ years in outreach role. Experience in camp settings or with Jewish organizations is preferred.
  • Skills: Strong attention to detail, excellent organizational skills, and the ability to manage multiple tasks simultaneously. Comfortable working with databases and registration software (e.g., CampMinder).
  • Communication: Excellent written and verbal communication skills. Ability to communicate effectively with families and staff.
  • Customer Service: A friendly, professional demeanor with a commitment to providing exceptional customer service.
  • Cultural Awareness: Knowledge and understanding of Jewish culture, traditions, and values, or a willingness to learn.
  • Technology: Proficient in Google Workspace. Experience with online registration platforms is a plus (CampMinder).
  • Other: Ability to work independently and as part of a team. Flexibility and adaptability in a dynamic environment.

Compensation:

  • $50K Annually
  • Benefits package may include health insurance, paid time off, and camp discounts.

Location

  • Remote or in the Chicago area during the year and Waupaca, WI in the summer.
