Beth Jacob Congregation seeks a talented Office Manager with outstanding customer service experience, strong organizational and communications skills, and the ability to maintain confidentiality.
As the primary point of contact for our Shul, you will be responsible for overseeing the front office, ensuring its smooth day-to-day operations, and offering support to both our internal staff and our community members. Your role will encompass a variety of administrative tasks, from document creation, weekly bulletin, Constant Contact marketing communications, managing paperwork cycle as well as assisting the Accountant with data and file management. Additionally, you'll be ready to assist with executive administrative duties on an as-needed basis, providing vital support to our dedicated employees.

Responsibilities:
- Reception & Administration: Serve as the friendly face at our "front desk," handling calls to our main line, managing emails sent to our general inbox, and addressing or forwarding all inquiries and requests; Letter writing
- Communications/Marketing: Responsible for all external communications, including time-sensitive mass emails and targeted mailings such as Mazal Tov notices
- Calendar Management: Maintain the various internal calendars (sponsored breakfasts, programmatic & congregational events, life cycle celebrations)
- Shabbat Bulletin: Compile, email and print weekly seat announcements as well as uploading to our website.
- Project Management: Take primary responsibility for important congregational projects, including membership enrollment and tracking, high holiday/seating assignments, annual gala planning, and other special projects as they arise.
- Calendar Management: Maintain internal calendars, including programs, congregational events, and life cycle celebrations.
- Event Creation and Planning: Assist with registration forms and campaigns, track registration, and support various events
- Office: Ensure inventory supply and office tidiness, as well as collect and distribute incoming mail and packages. Organize, label, and send all outgoing mail and packages, as well as schedule volume shipments. Compose letters on behalf of the Executive Director and, at times, write letters or assist with small projects for the Senior Rabbi.
- Miscellaneous Tasks: Handle any other tasks as needed to support the smooth operation of our Shul.
Skills and Qualities:
- Positive disposition – a cheerful attitude is key!
- Tech savvy - Proficiency in basic office software, including Microsoft Office Suite (especially Word and Excel). Strong familiarity and interest in database management and reporting. We currently use ShulCloud as our congregant management database.
- Detail-oriented - Possess excellent organizational and project management skills.
- Customer Service Focus - Your 'customers' are our Shul congregants. You will be relied upon to support the Executive Director, Senior Rabbi, and other team members with their demanding schedules, occasionally necessitating shifting priorities.
- Team Player - Enjoy working collaboratively
- Jewish Familiarity: Knowledge of Jewish tradition and the Hebrew language is a strong plus.
Requirements:
- High School Diploma, Bachelor degree or equivalent preferred
- 1+ year experience in an office/administrative role
- Exercise discretion and maintain a professional demeanor.
- Possess excellent verbal and written communication skills, along with strong interpersonal abilities.
- Proficient with MS Office products, Google Suite
