Position Overview:
As Jewish National Fund-USA's Event Coordinator, you will oversee planning and executing events that align with the organization's strategic vision. The Event Planner will ensure each event realizes its full potential. All planning and execution related to events will be done in coordination with the Business Manager, Event Strategist, Operational Staff, and Campaign Staff. This position reports to the Director, National Events.
This position is based in the Rockville Centre, NY office of Jewish National Fund-USA office. Heavy travel will be required.
Job Responsibilities:
- Own a portfolio of events that correlate to the Northeast Region which includes New England, Tristate, Central New Jersey, Eastern PA, and Mid-Atlantic. It will be the obligation of the Coordinator to work with the Business Manager, Event Strategist, and Campaign Staff to extract the event vision and objectives to apply into executable tasks.
- Organize all aspects of event logistics in coordination with Operational Staff, Campaign Staff, Committee Members, and Event Chairs. Logistics include, but are not limited to, production timeline, budget allocation and adherence, vendor contracting and management (catering, A/V, entertainment, etc.), security planning, onsite support staffing, run of show, etc.
- Serve as the key collaborator between all assigned team members to ensure that all people and elements are on track.
- Partner with Marketing to determine all printed and digital materials needed such as: invitations, save the date cards, registration pages, event signage, décor, etc.
- Work closely with the assigned event administrative assistant to: pull appropriate reports for invitations and mailing lists, oversee mailing of save-the-date cards or invitations, manage manual or online RSVPs, and print and ship attendee name badges and materials.
- Identify potential event risks and liabilities and work with regional teams to develop contingency plans to mitigate them.
- Ensure event details and data are recorded in CRM and all event related tasks entered, assigned, and operated in project management tool.
- Based on input from the planning process, event committee and attendee feedback, provide recommendations for improvement of future events.
- Travel to and oversee numerous events within your allocated region(s) to lead the on-site execution.
- Any additional duties or projects assigned by your supervisor.
Qualifications:
- BA/BS degree
- 2+ years of Event Management experience, with preferred experience in nonprofit event coordination.
- Excellent organizational and project management skills with the ability to work as part of the team.
- Proven negotiation skills with hotels, catering, and other vendors.
- Budget conscious and fiscal responsibility.
- Strong problem solver and multi-tasker to be able to navigate numerous concurrent events and deadlines.
- Ability to work in a fast-paced environment to continuously adapt and learn in changing environments.
- Act as a liaison and manage relationships with key stakeholders, strategic partners, and vendors. Must be able to represent the organization in a strong and positive way.
- Strong attention to detail.
- Creative thinker to introduce unique ideas to the event experience.
- Excellent interpersonal, verbal, and written communication skills.
- Knowledge of Salesforce or another database platform is a plus.
- Knowledge of event and project management platforms.
- Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Availability to travel and work nights and weekends as necessary.
- Candidates must have a valid US driver's license, passport, access to a car, and personal credit card to use for travel and event needs (documented expenses are reimbursed per company policy).
- Ability to lift up to 25 lbs.
