Position Type

A full or part-time position (28 - 35 hours/week) with a flexible schedule and includes some weekend availability. Review at 6 months. Remote, work from home position.

 

Start Date: Prefer January - March 2025

 

Reports To: Board of Directors, with oversight by President of Board.

 

Job Responsibilities

Assure HFLA achieves its mission and makes consistent and timely progress on KPIs to achieve success.

  • Work with Board of Directors in strategic and annual planning, including fundraising
  • Support Board of Directors to implement annual plans and goals

 

Manage HFLA Staff and Vendors

  • Actively manage the organization daily, currently consisting of 1 staff and 2 vendors
    • Staff: Loan Coordinator
    • Vendors:
      • Bookkeeper
      • Accountant
    • Actively engage and direct HFLA’s vendor bookkeeper (a few emails a month, meet to close books)
    • Actively engage and direct HFLA’s vendor accounting firm (meets one time a month to close books)
    • Be responsive to all staff and vendor questions
    • Facilitate information flow as needed to staff and vendors to ensure they can complete their work in a timely manner. Be sure you are timely and responsive to their requests.

 

Board Coordination

  • On going: Closely engage with the board of directors
  • Monthly board meetings: September – June
  • Monthly: Board Packets – create and send board packets, including, agenda, director’s report, financial reports, et al
    • Attend board meetings
    • Ensure Meeting notes are sent and stored on the HFLA servers. Legally required.
    • Ensure required legal documents are stored on shared drive: agendas, minutes, financial reports
  • On going: Ensure that the board is kept fully informed on the condition of the organization and all-important factors influencing

Donor Stewardship, Fundraising, Communications

  • Create and implement an annual fundraising plan with the Board of Directors
  • Actively work to raise funds and operate within the annual budget.
  • Support board members to engage in fundraising and identify, solicit, and steward donors
  • Grants: apply to grants applicable to HFLA’s mission, consistently search for new grants
  • Lead the proper acknowledgement to donors for gifts both in-kind and direct donations
  • When opportunities arise, or public relations notices are applicable, publicize the activities of the organization, its programs and
  • Jointly, and with the president and secretary of the board of directors conduct official correspondence of the organization, and jointly, with designated officers, execute legal
  • Of less importance:
    • Manage the Life & Legacy program including donor recognition events and communications. Maintain coordination with program partners The Jewish Federation and Harold Grinspoon
    • Manage outreach and appreciation programs and communications for HFLA Lifetime

 

Brunch Fundraiser

  • Annually: Brunch fundraiser - Lead and drive for annual Brunch event with the Development Committee.
  • Set financial goals, and have a plan to meet stated goals
  • Set attendance goals, and have a plan to meet stated goals

 

Marketing

  • Manage website and issue monthly or bi-monthly e-newsletters
  • Communicate important student application dates with The Federation, Synagogues, the SJCC et al

 

Loan Management

  • Monthly:
    • Ensure monthly Loan Portfolio Analysis report is created and is accurate
    • Ensure borrower statements are accurate and sent monthly (by Bookkeeper)
  • Working with the Loan Coordinator, the Loan committee and board, establish effective and consistent borrower vetting procedures.
  • Working with Loan Coordinator, the Loan committee and board, participate in improving all documents and questionnaires for loan documentation including legal documents
  • On a monthly basis oversee loans, and loan follow-up with borrowers in arrears using established loan collection practices approved by the board (loan coordinator’s role)
  • Ensure the board of directors is made aware of any loan defaults, and the efforts made to collect from challenging borrowers

 

Legal Requirements

  • Maintain official records and documents, and ensure compliance with federal, state regulations including non-profit status filings

 

Finance and Administration

  • Annually in June: work with the Board Treasurer, Finance committee and board to prepare a budget, and see that the organization operates within the budget
  • Monthly: Work with Board Treasurer, bookkeeper and accountant to support monthly financial reporting and reconciliation
  • As approved: Ensure borrower check requests are sent timely

 

Office Communications

  • Be responsive to all email inquiries, answering questions or directing to proper individual

 

Community Engagement

  • Establish sound working relationships and cooperative arrangements with community groups and organizations

 

International Association of Jewish Free Loans

  • Monthly: Maintain a working knowledge of significant developments and trends in the field by participating in monthly calls hosted by IAJFL, and any other such organization that can increase HFLA’s effectiveness
  • Ongoing: You are the point of contact for IAJFL. Communicate trends and information to the board of directors.

 

Staff Relations

  • Ensure job descriptions are developed, that regular performance evaluations are held, and that sound human resource practices are in place
  • Encourage and support staff development and education when opportunities arise that will increase productivity in their roles
  • Maintain a climate which attracts, keeps and motivates a staff of top-quality people

 

Programs – Successfully manage these important programs for the community

  • Scholarship
    • April 1 – April 30 - Ensure new applications are created and posted for Scholarship program
    • Communication channels have been fully messaged to let families know
    • Emails have been sent
    • Partner organizations have been notified
    • Schedule is prepared to meet goals and track applicants
  • Student Access Fund (SAF)
    • Opens May 1 – May 31
    • Communication channels have been fully messaged to let families know
    • Emails have been sent
    • Partner organizations have been notified
    • Schedule is prepared to meet goals and track applicants
  • General Loan and Mini Loan program
    • On going program throughout the year
    • Provide regular mentions in newsblasts about the program and its impact on individuals

Technical Knowledge

  • Required:
    • Google Suite: Working knowledge of Google Suite, including Gmail, Contacts, Forms
    • Microsoft: Excel, Word, PowerPoint
    • Adobe: PDF and Forms, creating board packets
    • Website: ability to work with WIX website to edit site as needed when it is time to promote Programs and Fundraising activities
    • Constant Contact: HFLA’s email communication program
  • Helpful:
    • Form Publisher: Transforms Google forms into readable PDF files
