DEPARTMENT: Operations 

REPORTS: Senior Director of Operations 
PROGRAM: Emanu El Next 

LOCATION: San Francisco 

STATUS: Non-Exempt 

HOURS OF WORK: This position is Full Time, 40 hours/week  

 

Temporary: We are looking to fill the position at the earliest possible start date 

Position expected to last through January 2026.

Emanu-El is the fifth largest Jewish Reform congregation in the United States, with 1900 households, and is the oldest Jewish congregation west of the Mississippi. Summary 

The Relocation Project Manager will work on the relocation logistics of our organization (offices and schools) from a temporary site to our newly renovated building, as well as take responsibility for streamlining the operational flow of the new facility. This position will work with the Sr. Director of Business Operations, a cross-functional team of department heads, and external vendors to ensure the relocation project is executed smoothly and on schedule. The Project Manager will also organize and facilitate internal meetings to operationalize experience maps, ensuring alignment with the organization's goals and resource needs. They will manage vendor communication to enable timely execution of services and support training sessions for staff on new procedures and technology. 

Key Responsibilities 

  • Oversee project timeline and key deliverables, manage the various stages of the physical move. 
  • Document the relocation/moving process and develop Standard Operating Procedures, as needed.  
  • Create and maintain project documentation to provide clear and accessible records of all relocation activities. 
  • Identify, catalog and document the location for items moved into their final location. 
  • Manage packing, loading, and transportation of items. This includes developing the packing timelines for staff and Communicate timeline for all move stakeholders (staff, vendors, congregants). 
  • Provide Executive Assistant Support, as needed. Assist the Senior Director of Operations with scheduling, prioritizing tasks, managing correspondence, and handling administrative duties to enable efficient oversight of the relocation project. 
  • Coordinate and schedule meetings, ensuring all stakeholders are aligned and informed of project updates. 
  • Assist in tracking project timelines, deliverables, and milestones to maintain project momentum and ensure work is completed on time. 
  • Prepare comprehensive meeting notes, track action items, and ensure timely follow-up. 
  • Facilitate communication between departments, acting as a central point of contact to streamline project-related information.  
  • Coordinate the centralization of digital files and integrate them into room reservation systems for efficient access by staff. 
  • Manage relocation budgets and resources efficiently and identify and allocate resources for each individual stakeholder group within the organization. 
  • Support the Operations Director with communications for the phased reopening of various locations within the new site and review and finalize space planning documents. 
  • Collaborate with the IT Director and Security Director to ensure all programs and stakeholders are supported throughout the relocation process and set up to work in the new space. 
  • Compile, implement, and disseminate policies and procedures for the new site. 
  • Organize training sessions for internal teams with subcontractors, ensuring successful handoff of protocols and procedures. 
  • Employ risk management strategies to identify potential issues and develop contingency plans for a smooth transition. 
  • Support the organization post move-in, helping employees settle into their new space and addressing any post-relocation challenges as they arise. 
  • Implement a feedback system post-implementation to gather insights for continuous improvement.  
  • Other duties as assigned.

Work Environment 

  • Ability to visit multiple sites: Emanu El, Construction site, School, Main Office.  
  • Prolonged periods sitting at a desk and working on a computer. 
  • Must be able to lift to 25 pounds, as needed.
