About The Role
The Administrative Assistant to the Woman’s Brigade Director is responsible for providing high-level administrative support ensuring the smooth workflow and daily operations. This person is responsible for a variety of administrative functions of a routine nature to complex special projects that require the ability to organize information related to applicable subject areas, policies, programs, and governance matters. Maintaining a high level of confidentiality and discretion in this role is essential because this position will have delegated authority regarding matters of significance to provide support including administrative services, calendar management, and preparation of documents for meetings and projects.
Essential Job Duties
- Provide general administrative and clerical support:
- Draft letters, emails, and correspondence.
- Manage incoming telephone calls and resolve queries/transfer calls as necessary to resolve issues.
- Set up and maintain office systems, records, and files (electronic and manual).
- Prepare letters, thank you notes and other correspondence on behalf of the Director.
- Prepare credit card or expense report for reimbursement.
- Summarize (in written form) and follow-up of all meetings as requested.
- Prepare PowerPoint presentations and slides when requested.
- Manage calendar
- Plan, organize and effectively support the management of the Chapter Director’s daily schedule as required and coordinate with the National Office, Northeast team and Woman’s Brigade Board Members as needed.
- Coordinate meetings, internal and external, as requested by the Director.
- Make all logistical arrangements (i.e. flights, accommodations, transportation, and other reservations) while keeping within budget.
- Reports
- Run complex donor reports.
- Effectively utilize the CRM platform to support donor relationship management.
- Implement, maintain, and update all databases in coordination with the National office.
- Create and manage pipeline reports to support chapter growth.
- Donor and Board
- Manage registration and logistics for galas and local events.
- Handle all aspects of donor recognition
- Steward existing donors to retain and grow.
- Work with local Board members and serve as a resource to those who engage in prospect/donor cultivation, solicitation, and stewardship.
- Provide timely and accurate reporting to the Director and local Board members.
- Events
- Coordinate logistics for speakers and visitors.
- Assist with project management with tasks such as organizing timelines, tracking progress, coordinating meetings and communication, and ensuring deadlines are met.
- Provide support to the Director for public presentations to engage small or large groups of participants, volunteers, and donors.
- Follow up on required deliverables on behalf of the Woman’s Brigade Director.
- Ability to work evenings and weekends.
- Perform other duties as requested.
Qualifications
- Bachelor’s degree or an equivalent combination of education and experience.
- Minimum of 3 years of administrative/office support experience is required.
- Strong computer skills including Microsoft Word, Excel, and Outlook; knowledge of Raiser’s Edge a plus.
- High level of professionalism and confidentiality.
- Excellent writing and presentation skills, including the ability to write accurately and engagingly for a range of audiences.
- Highly organized, detail-oriented and self-motivated.
- Ability to work independently while also supporting a team.
- Demonstrate flexibility - willingness to work flexibly in response to changing department and organizational requirements.
