POSITION OVERVIEW 

The Executive Administrative Manager plays a key role as the primary administrative support to the Chief Financial Officer (CFO) of Momentum Unlimited, a global nonprofit Jewish communal organization. This position executes the support of the CFO at an executive level including calendar management, correspondence administration, process enhancement, expense reporting, and travel coordination. In addition, they support the management of important meetings including proficiently handling scheduling, managing agendas, distributing meeting materials, comprehensive notetaking, and follow up post meeting. 

The Executive Administrative Manager holds an essential function in supporting the CFO to ensure the smooth operations of important financial and administrative processes within Momentum. This role requires someone to showcase a high level of confidentiality, attention to detail, organization, and professionalism. This is a hybrid position requiring 2-3 days per week in the Rockville, Maryland office. 


KEY RESPONSIBILITIES 

Executive Support:
  • Proactively oversees the calendar of CFO by promptly responding to meeting requests, thorough meeting preparation, development and distribution of relevant meeting agendas and minutes, timely management of follow-up requirements, and effective balance of meeting frequency. Ensures adherence to schedules, and constructively resolving scheduling conflicts. Responsible for all meeting logistics such as invitations, catering, room reservations, attendance lists, and audio/visual equipment. Prioritizes conflicting needs and makes necessary adjustments to optimize scheduling effectiveness.
  • Facilitates seamless communication between the CFO and internal departments, demonstrating leadership to uphold credibility, trust, and support with senior management staff. 
  • Offers comprehensive support to the CFO in managing board subcommittees and other requested meetings.
  • Supports CFO in developing and refining a wide range of presentation materials, reports, letters, and professional communication. Manages the preparation and distribution of board committee communications. Directly communicates with board members, professional staff, donors, and vendors on behalf of the CFO.
  • Plans and implements all travel components (both national and international) including reservations, ticketing, ground transportation, meeting materials preparation, detailed itineraries, expense reports and managing out of office notifications.

Finance and Administration:
  • Supports the CFO on overseeing global finance and administration projects cross-functionally and with outside vendors. 
  • Works with the CFO to maintain corporate licenses and official organizational documents, manage global insurance documents, maintain compliance requirements, implement risk management activities, support special requests during audit season, and support requirements for the Canada board.
  • Collaborate with the finance department to streamline the Accounts Payable process, ensuring accurate data entry, timely invoice processing, and effective communication to support seamless financial transactions.
Performs other duties as assigned.


QUALIFICATIONS
  • Bachelor’s degree required. 
  • A minimum of 3 years related experience including working with management leadership roles; prior experience working with nonprofit or community-based agencies is strongly preferred.  
  • PC literacy with strong competency in all Microsoft Office Suite programs (Word, Excel, PowerPoint, SharePoint) and Outlook.
  • Knowledge of and prior use of Salesforce software and Asana is preferred.
  • Demonstrated ability to work with and maintain confidential information.
  • Ability to handle multiple tasks with proven organizational skills. Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment with competing demands.
  • Ability to use independent judgment in resolving various problems.
  • Ability to maintain composure and effectiveness under pressure.
  • Exceptional oral and written communication skills – strong writing and proven proofreading.
  • Demonstrated ability to take initiative, and actively seek opportunities.
  • Exceptional customer service skills.
  • Proven ability to develop and maintain strong relationships with donors, colleagues, volunteers, and VIP level constituents.
  • Ability to work irregular hours including occasional nights and Sundays that involve organizational events and meetings.

This is an exempt position. The salary range is $75,000 - $85,000 annually, depending on relevant experience.
