Position Summary:

We are seeking a detail-oriented and proactive Purchasing Specialist to join our dynamic team. In this role, you will play a pivotal part in managing and streamlining our purchasing operations, supporting key functions such as vendor negotiation, procurement, contract management, and the RFP process. The ideal candidate will have excellent communication skills, strong organizational abilities, and a passion for supporting a high-functioning team.

Key Responsibilities: 

  • Purchasing and Procurement Management: Oversee purchasing activities, including source selection, vendor negotiation, and small-dollar procurement, ensuring compliance with best practices and company policies. 
  • Purchase Order System Support: Administer and train staff on our purchasing system (Coupa) while creating and managing purchase orders through the E-Pro system. 
  • Vendor & Contract Management: Facilitate vendor relationship management, including contract review and approval, and ensure smooth procurement of goods and services. 
  • RFP Process Support: Assist in preparing and issuing RFPs, collaborating with various departments to gather requirements, evaluate proposals, and negotiate terms. 
  • Vendor Relations & Internal Communication: Cultivate strong working relationships with both internal teams and external vendors to ensure the timely and accurate delivery of goods and services. 
  • Invoicing & Accounts Payable Coordination: Work closely with Accounts Payable to resolve discrepancies, process invoices, and maintain virtual card reconciliation, ensuring accuracy and efficiency. 
  • Tracking & Reporting: Maintain detailed records of open POs, track order statuses, and generate regular reports to ensure purchasing operations remain on track. 
  • Administrative Support: Coordinate meetings, handle communications for the purchasing department, and provide general administrative support as needed. 
  • Professional Development: Stay current with industry trends by attending workshops and reviewing publications related to purchasing best practices. 

Qualifications & Competencies: 

  • Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and maintain a high level of accuracy. 
  • Team Player: Collaborative and enthusiastic, with a positive attitude and a strong work ethic. 
  • Detail-Oriented: Precision and attention to detail are key in ensuring purchasing processes are executed accurately. 
  • Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ideally, the Coupa E-Pro system. 
  • Experience: Previous experience in purchasing, procurement, or accounts payable is preferred. 
  • Communication Skills: Strong written and verbal communication skills, capable of building relationships with both internal stakeholders and external vendors.

Salary Information: 

The salary range for this role is $65,000 - $70,000 annually; commensurate with experience and qualifications listed above.

TIME OFF

We offer a generous number of vacation days and have the Jewish holidays off as well. Fridays our offices close early (October to March at 3:00 pm and April to September at 4:00 pm). All so you can relax and recharge.
