Position Summary:

Brooklyn-based non-profit organization is seeking a friendly, proactive, and detail-oriented Receptionist to join our team. This role is responsible for welcoming visitors, handling front desk operations, and supporting administrative functions. Additionally, the receptionist may assist the Mental Health Clinic with scheduling, appointment coordination, payment collections, and collaborating with therapists.

Duties and Responsibilities:

  • Greet and welcome visitors, ensuring they are directed to the appropriate staff or service.
  • Answer and screen phone calls, take accurate messages, and forward calls as needed.
  • Maintain a clean, safe, and organized reception area.
  • Monitor security cameras and follow security procedures.
  • Receive, sort, and distribute mail and packages; prepare outgoing mail for delivery.
  • Assist with general clerical duties such as photocopying, filing, data entry, and preparing correspondence.
  • Use computer systems, fax, or courier services to transmit information or documents.
  • Sign in clinic clients on the electronic health record and ensure completion of required sign-in sheets.
  • Verify and collect co-pays/self-pay from clinic clients based on electronic health records.
  • Schedule, update, and manage clinic appointments, including cancellations and no-show documentation.
  • Run reports and collaborate with therapists and supervisors as needed.
  • Maintain client confidentiality in compliance with agency policies and state laws.
  • Assist in special projects and division-specific tasks as assigned.

Qualifications & Skills:

  • High School Diploma or GED required.
  • Strong verbal and written communication skills.
  • Professional demeanor with excellent customer service skills.
  • Polished, professional presenation and appropriate attire for a faith-based non-profit required.
  • Ability to work independently and as part of a team.
  • Strong attention to detail, reliability, and initiative.
  • Ability to handle stressful situations with professionalism.
  • Proficiency in basic computer applications.
  • Must be able to read, write, and speak English effectively.

Physical Requirements:

  • Ability to sit for extended periods.
