Position Overview

Our client is an “American Friends of ” organization. The Controller is responsible for overseeing financial operations, ensuring compliance with regulatory requirements, and maintaining the integrity of financial data. This role requires expertise in nonprofit accounting, financial reporting, grants management, and donor-restricted funds. The Controller will work closely with the CFO to support the organization’s financial health and will supervise an Accounting Associate responsible for accounts payable, payroll, credit card processing, bank reconciliations, and cash reporting, and other related financial tasks. This is an in-office job, Monday-Thursday. Friday, remote.

Key Responsibilities

Financial Oversight & Accounting

  • Oversee and maintain the general ledger, ensuring accuracy and compliance with accounting principles.
  • Perform daily reviews of bank account activity, invoices, and expense allocations.
  • Manage and track restricted donations, ensuring timely disbursement to SZMC.
  • Initiate and oversee all account and wire transfers.
  • Maintain accurate financial records and reconcile data between the donor database and accounting software.
  • Oversee investment transactions and provide reporting to the investment tracking team.
  • Support the administration of the endowment fund, including accounting, investment tracking, and annual disbursements.
  • Act as the custodian for petty cash.
  • Supervise the Accounting Associate, providing guidance and oversight for accounts payable, payroll, credit card processing, bank reconciliations, cash reporting, and other related financial tasks.

Grants & Compliance

  • Manage quarterly reporting for USAID grants, including voucher submissions, payment requests, and compliance filings.
  • Assist with annual grant proposals and oversee bid proposal reviews.

Estate & Trust Management

  • Set up estate files, coordinate with legal counsel, and review residuary bequests.
  • Prepare and submit affidavits and required documentation for estate distributions.
  • Ongoing Liaison with Financial Institutions: Ensure accurate reporting, compliance, and financial oversight of Charitable Gift Annuities (CGAs) throughout the year.
  • Administer Charitable Remainder Annuity Trusts (CRATs), including preparing schedules, allocating income and expenses, sending K-1 forms to annuitants, and filing annual IRS returns.

Retirement Plan Administration

  • Oversee contributions to the organization’s retirement plan.
  • Conduct annual plan reviews and assess investment options.
  • File Form 5500 with the U.S. Department of Labor.

Audit, Insurance, & Annual Reporting

  • Prepare financial statements, including notes, and most schedules and worksheets for the audit of financial transactions, including pledges receivable, annuities, and investments.
  • Prepare all audit confirmations and any schedules requested by the audit team.
  • Work with the audit firm to ensure the timely preparation of Form 990 and state filings.
  • Oversee annual renewals for Office liability and Directors & Officers (D&O) insurance.
  • Manage and submit workers’ compensation data.
  • Oversee taxable fringe benefit reporting for auto leases, group-term insurance, and health insurance to the IRS.
  • Prepare and review all 1099s for miscellaneous income and charitable gift annuity (CGA) recipients.

Backup Responsibilities

  • Provide support for daily cash reporting, payroll processing, bank deposits, and mailroom operations as needed.

Qualifications & Experience

  • Bachelor’s degree in accounting, Finance, or related field (CPA or MBA preferred).
  • Minimum 5 years of experience in nonprofit accounting or financial management.
  • Strong understanding of restricted funds, grant compliance, and financial reporting for nonprofits.
  • Proficiency in Microsoft Excel and financial analysis tools.
  • Experience with Microsoft Great Plains accounting software preferred.
  • Knowledge of USAID grant reporting and estate administration is a plus.
  • Prior experience supervising accounting staff is preferred.
  • High attention to detail, integrity, and ability to handle confidential information.
  • Notary certification a plus
Salary125,000.00 - 140,000.00 Annual
