Position Overview:
Jewish National Fund- USA seeks an Event Administrator to provide clerical, event and organizational support to meet the administrative needs and goals related to the Jewish National Fund-USA Campaign and assist with planning and executing events that align with our strategic vision. All planning and execution related to events will be done in coordination with Campaign Staff, Operational Staff, the Director of National Events, and the Executive Director of our Center of Excellence. This is a full-time position based out of our Boston office.
Job Responsibilities:
- Provide administrative support to fundraisers and for events under the Regional Business Manager's direction.
- Answer phones, offering customer service to donors, board members, volunteers, and the community.
- Manage donor database and generate reports using Salesforce.
- Process and code pledges, donations, and payments accurately and on time.
- Manage event registration, prepare materials (e.g., name badges, pledge cards), and assist with event seating in Salesforce.
- Handle invoices, check requests, and accounts payable submissions.
- Maintain and update contact records, manage community calendar entries, and provide general office support.
- Schedule meetings and coordinate travel for speakers.
- Assist with event logistics, including vendor coordination, pricing research, RSVP tracking, and payment requests.
- Oversee logistics for smaller event and participate in event planning and follow-up.
- Collaborate with the Marketing Department on collateral materials.
- Ensure vendors meet contractual obligations
- Track event inventory and manage shipping of supplies.
- Coordinate onsite event setup, registration, and breakdown, ensuring all details are captured in Salesforce and project management tools.
- Run virtual events via Zoom and travel to regional events as needed, working evenings and weekends.
- Assist with special projects and administrative tasks as directed.
Qualifications:
- Excellent interpersonal, communication, and organizational skills.
- Superior customer service, telephone etiquette, and dependability.
- Ability to prioritize, multi-task, and meet deadlines in a fast-paced environment.
- Flexible with last-minute requests and time-sensitive tasks.
- Strong computer skills (Microsoft Office, Salesforce, basic math/accounting).
- Problem-solving ability with attention to detail.
- Independent and team-oriented, high energy, and deadline-focused.
- Available to work nights, weekends, and travel within the region.
- Must have a valid US driver's license, personal car, and credit card (reimbursed expenses).
- Ability to lift up to 25 lbs.
- Preferred: experience in development organizations, BA/BS degree, and 1+ years of event planning.
