Salary: $85,000 - $100,000 Annually

Status: Full-time, Exempt

Reports to: Carmela Caplain, Senior Vice President, Finance

Location: The position is hybrid, requiring one day per week in the NYC office.

Position Summary

The Director of Finance, reporting to the SVP of Finance, assists in managing Prizmah’s day-to-day accounting and finance activity. This is a hands-on role that requires confidentiality, excellent organizational and time management skills, attention to detail, as well as good customer relations and effective communication skills. The Director of Finance is expected to pivot and prioritize projects/tasks and commit to consistently meeting deadlines.

Scope of Responsibilities

Work in partnership with the SVP of Finance to manage accounting and financial operations, including the recording of assets, liability, revenue, and expense transactions in accordance with Generally Accepted Accounting Principles (GAAP). This position will play a key role in financial reporting, budgeting, tax compliance, and audit coordination.

Operations

  • Record Accounts Receivable and Revenue for grants, contributions, fee for service revenue, and program registrations.
  • Prepare and issue invoices to schools and other clients, prepare AR Aging monthly, and provide oversight of Accounts Receivable by following up on outstanding balances on a timely basis.
  • Prepare bank deposits, including recording cash receipts for checks, ACH, and wire transactions, and inform Development of incoming grants and contributions.
  • Coordinate the processing of accounts payable invoices.
  • Supervise and coordinate the preparation of bank reconciliations.
  • Complete monthly financial close process and the preparation of month end journal entries.
  • Respond to questions from schools, clients, vendors, and internal stakeholders.
  • Prepare monthly cash forecast, monitor operating cash requirements, and make recommendations for cash transfers and needed.

Budgeting

  • Martus budgeting software implementation and staff training for FY26 budget
  • Build out personnel budgeting module in Martus to accommodate personnel budgeting at the activity level.
  • Assist staff with budget preparation and forecasts during the year.
  • Working with programmatic staff, prepare budgets to accompany proposal to foundations and funders.

Financial Reporting

  • Martus financial reporting implementation and staff training to internal stakeholders.
  • Review variance reports submitted by staff with appropriate follow up on questions/concerns that may arise.
  • Prepare financial reports and summaries for donor and funder reporting.
  • Assist in the preparation of materials for Committee and Board meetings.

Audit and Compliance

  • Prepare year-end audit schedule preparations, including cash summaries, accounts receivable aging, fixed assets, accounts payable and accrued expenses, and other schedules as assigned.
  • Prepare schedules and analysis required for the IRS Form 990 and state tax filings.
  • Recording of all transactions and financial activities related to Prizmah of Canada, including cash receipts, disbursements, due to/due from transactions
  • Assist in Prizmah of Canada’s financial reporting, audit, and tax filing.
  • Monitor transaction related to fiscal sponsorship, ensuring adherence to the fiscal sponsorship agreement and IRS compliance.
  • Additional responsibilities as assigned by SVP Finance.

Experience and Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field
  • Five years’ experience working in accounts payable and receivable and general ledger
  • Nonprofit accounting experience strongly preferred
  • In-depth knowledge of generally accepted accounting principles
  • Excellent analytical skills
  • Proficiency in Microsoft Office Suite, Sage Intacct, and Bill.com
