Director of Finance and Administration

Position Brief

The Director of Finance and Administration is responsible for the overall management and supervision of the finances, operations, human resources, compliance, and other non-academic operations of Yeshivat Maharat. The Director creates, implements, and improves processes and systems needed to support Yeshivat Maharat’s mission, particularly in the areas of finance, human resources, and site operation.  

Reports To: Executive Vice President and works closely with the President

Responsibilities

General Operations/Administration

• Maintain necessary levels of general liability, property, disability, worker’s comp, D&O, and other types of insurance for the organization
• Interface with landlord on a regular basis; negotiate lease terms, report concerns, supervise room set-ups.
• Oversee organization’s IT and cybersecurity needs and network requirements, ensure smooth running of all computer systems, and manage licenses and operation of software and technology.
• Manage relationships and negotiate contracts, budgets, and invoicing for outsourced services and vendors, avoiding duplication and overcharging.
• Administer student F1 visa program (issue visas, ensure registration and compliance by students, participate in required SEVIS meetings and trainings).
• Serve as contact person with legal counsel, as needed.
• Support the planning and logistics of onsite intensives and offsite retreats; contact for travel agent and travel arrangements.
• Supervise Operations and Development Assistant.

Financial 

• Coordinate, design, and implement financial reporting systems, including financial statement preparation. Review internal financial reports on a weekly basis.
• Supervise auditors and accountants on annual audit; review and approve annual 990 and CHAR 5000 for filing.
• Maintain an accurate record-keeping system and system of internal controls.
• Prepare and manage the organization’s annual budget in collaboration with the Executive Vice President, President, and Treasurer.
• Supervise and work closely with the outsourced CFO to ensure accurate entry of annual budget, handling of receipts, disbursements, payables, receivables, and account reconciliations, revenue recognition, and reconciliation of employees’ annual total compensation to the approved budget.
• Manage accounts payable (vendor and stipend payments) and corporate credit cards with outsourced bookkeeper/accounting firm.
• With the Treasurer and outside accounting firm, prepare financial reports using QuickBooks and spreadsheets for finance committee and Board meetings, and foundations.
• Administer payroll.
• Oversee organization’s investment portfolio with advice and support from the finance committee.
• Serve as liaison to the Board Finance and Investment Committees.

Human Resources

• Analyze, track, and distribute employee benefits, including flexible spending plans, health insurance, tuition program, 403(b) retirement plans, qualified tuition reimbursement, and paid time off.
• Maintain personnel records and HR systems, policies, and procedures.
• Maintain HR systems in iSolved including bi-monthly payroll processing, employee benefit payments, and onboarding of new employees.  
• Review, revise and maintain employment policies and handbook; ensure compliance with federal, state, and city requirements including an annual anti-harassment training. 
• Draft employee contracts (new and continuing); onboard new employees.
• Stay informed about HR best practices, and support the process of salary benchmarking and banding.

Fundraising

• Oversee Operations and Development Assistant in intaking donations and creating and maintaining donor records.
• Ensure compliance with multi-state charity registrations (Harbor Compliance).

Qualifications

• A minimum of 5 years in accounting, HR, and operations, preferably in a nonprofit
• Proficient in Quickbooks, Google Workspace, and Microsoft Office, and facility with learning new software required; experience with donor databases or CRMs is a plus
• Strong understanding of nonprofit accounting, financial reporting, budgeting, and financial planning and analysis
• Experience developing and implementing HR policy
• Detail-oriented and ability to prioritize and manage multiple projects at the same time in order to meet deadlines
• Demonstrate good judgment and discretion and the ability to interact with confidentiality, integrity, and tact
• Proactive, self-motivated, and comfortable in a small, entrepreneurial organization.
• Bachelor’s degree

• In person Monday-Thursday; remote on Fridays
• Requires work on occasional evenings and weekends
