Our client, the American Technion Society, is currently seeking an Executive Assistant to the Chief Development Officer (CDO). This a remote position based in the San Francisco Bay area with flexible arrangements.

Your Role

As the West Coast Executive Assistant (EA), you will play a pivotal role in supporting the Chief Development Officer (CDO) and occasionally other Senior Leadership Team (SLT) members based in NYC,  serving as backup to the East Coast EA. Your key responsibilities will include managing complex calendars, coordinating meetings and travel logistics, and facilitating seamless communication between the CDO and various stakeholders. Additionally, you will support local Bay Area fundraisers, with approximately 15% of your role dedicated to in-person event support.

Key Responsibilities:

  • Internal Task Management: Liaise with colleagues in the ATS Development team and other teams to move key tasks forward; keep the CDO informed of progress and identify potential business challenges so that they can be properly addressed.
  • Calendar and Meeting Management:Coordinate and manage intricate calendars, meetings, appointments, and travel logistics. Assist in preparing briefing materials and supporting virtual and in-person meetings.
  • Communication and Correspondence:Prepare and disseminate customized written communications using templates and ATS documents. Serve as a communication link between the CDO and multiple stakeholders.
  • Event and Logistics Coordination:Collaborate with Bay Area development staff to ensure flawless execution of in-person meetings and events. 
  • Strategic and Donor Support:Keep the CDO informed of upcoming commitments and responsibilities and interact with donors on their behalf. Partner with the fundraising team and development program assistants to facilitate multiple initiatives.
  • Documentation and Reporting:Document discussions during meetings, prepare customized correspondence, and develop complex reports. Update entries in ATS Database (Raiser’s Edge) including demographic information and philanthropic donations.
  • Travel Planning and Special Projects:Provide travel-related support and planning. Undertake special projects and additional responsibilities as assigned.

Your Expertise:

  • Brings over 5 years of experience in executive-level administrative support.
  • Advanced proficiency in Microsoft Office Suite and experience with online calendars and cloud-based systems.
  • Notary license preferred or willingness to obtain.
  • Strong problem-solving skills and ability to present innovative solutions.
  • Proven ability to handle sensitive information discreetly.
  • Exceptional verbal and written communication skills.
  • Ability to multitask effectively and stay composed under pressure.

Physical Demands & Travel Requirements:

  • Primarily sedentary work with occasional exertion up to 20 pounds.
  • Infrequent domestic and international overnight travel (up to 5%).
  • Infrequent local travel for events (up to 10%), primarily in Bay Area, Seattle, and Portland, possibly occurring evenings and weekends.
