Position Summary

The Project Manager for the Legacy Program will be responsible for overseeing and coordinating all logistical elements of the program, ensuring that all operational details are efficiently managed and executed. This role involves close collaboration with a wide range of stakeholders, including the Israel Office and IDF Casualties department, the Development Operations Portfolio Manager, Finance, Chapters, Camps, and External Vendors. The project manager will be critical in ensuring smooth travel, accommodation, programming, and overall camp logistics for the bereaved children and their Israeli counselors.

Key Responsibilities:

1. Travel and Accommodation Logistics:

  • Oversee the travel arrangements for bereaved children and counselors, including flights, airport transfers, Vehicular and any other transportation needs across the U.S.
  • Ensure that all participants are accommodated in designated summer camp locations and that logistical needs such as meals, medical support, and safety measures are properly arranged.

2. Stakeholder Coordination:

  • Israel Office and IDF Casualties Department: Ensure proper coordination of the children and counselors travels. This includes confirming travel details, health and safety protocols, and ensuring that all needs of the bereaved children are met during their trip in the US.
  • Development Operations Portfolio Manager: Coordinate with the Dev Ops Portfolio Manager to align logistical efforts with marketing, and communications strategies. Ensure that the program's logistics align with marketing materials to provide an impactful and organized experience for all participants.
  • Finance: Coordinate with the Finance Department to ensure budget compliance, track expenses, and manage financial planning for travel, accommodation, and other logistical requirements.
  • Chapters: Communicate with Chapters to ensure that Chapter Staff and Program Sponsors are aware of specific program dates and schedules.
  • Camps: Communicate with Camps to arrange all site logistics (accommodation, food, transport, safety measures) for the children and counselors. Ensure that the camps are equipped to facilitate all activities.
  • Vendors: Manage additional Vendors as needed for special events, travel services, or any other logistical needs. Ensure that vendors are aligned with the program’s requirements and timelines.

3. Program and Event Management:

  • Coordinate with the FIDF Israel Office and the IDF Casualties Department to ensure all activities are aligned with the emotional and physical needs of the participants.
  • Work with FIDF’s partners to ensure that special programs and events are executed smoothly and as planned.
  • Ensure that the counselors and staff are well-prepared to provide the necessary emotional and mental health support, coordinating with relevant professionals as required.

4. Health and Safety:

  • Ensure that all logistical operations comply with the health and safety standards required for hosting vulnerable youth, including handling any emergency protocols and first aid resources.
  • Coordinate with the IDF’s Casualty and Wounded Department, ensuring the professional support system (including mental health professionals and active-duty commanders) is fully integrated into the logistical plans.

5. Communication & Reporting:

  • Provide regular updates to all stakeholders (IDF, finance, DevOps, chapters, camps, vendors) on the status of logistics, travel, accommodation, and events.
  • Manage the creation and distribution of relevant reports, ensuring that the project timeline, budget, and resources are tracked and on target.

Skills and Qualifications:

  • Previous experience working with Jewish summer camp’s is highly preferred
  • Proven experience in project management, ideally in a program with multiple stakeholders and moving parts.
  • Strong organizational skills and the ability to manage complex logistics involving travel, accommodations, events, and multiple vendors.
  • Experience in managing large-scale programs, preferably with a background in youth programs, camp logistics, or non-profit coordination.
  • Excellent communication skills and the ability to work effectively with diverse groups, including internal teams and external partners.
  • Strong financial acumen and experience working with budgeting, tracking expenses, and financial reporting.
  • Ability to work under pressure and adapt to changing needs and environments.
