Temple Dor Dorim – Director of Finance and Operations

We are seeking a full-time Director of Finance and Operations to join our dynamic leadership team and help shape the future of our congregation. This role will oversee day-to-day operations, ensuring smooth business and financial functions while supporting the Temple’s mission.


 

Position Overview

The Director of Finance and Operations reports to the Temple President and collaborates closely with the Rabbi, professional staff, and the Board of Trustees. Primary responsibilities include overseeing the Temple’s administrative, financial, and facility operations, ensuring alignment with strategic goals.


Key Responsibilities

Administrative Responsibilities

  • Ensure compliance with personnel policies; maintain and update the personnel manual as approved by the Board of Trustees.
  • Develop and implement administrative policies for routine operations and emergency situations. Publish these in an employee manual and volunteer handbook.
  • Oversee the Temple’s IT environment, including Microsoft365, SharePoint, phone systems, internet, and security systems, with support from a fractional IT vendor.
  • Maintain accurate and secure Temple records, including contracts, permits, bylaws, meeting minutes, and historical materials.
  • Attend Board of Trustees and relevant committee meetings as needed, supporting decision-making with reports and data.
  • Oversee relationships with third-party vendors, including maintenance, janitorial, and security services.
  • Manage building access systems and maintain strong communication with Homeland Security and other agencies regarding security concerns.
  • Coordinate orderly operations for events, holidays, and services, ensuring they are safe, secure, and mission-aligned.
  • Build and maintain positive relationships with Temple members and volunteers.

Financial Responsibilities

Budgets, Financial Analysis, and Reporting

  • Ensure implementation of financial policies, budgets, and directives from the Board of Trustees.
  • Lead the annual budgeting process by department, collaborating with department heads, the Finance Chair, and the Treasurer.
  • Prepare and present monthly financial reports, including variance analysis, in partnership with the Finance Chair and Treasurer.
  • Manage a long-term capital budget with input from external consultants and the Finance Chair/Treasurer.

Revenue Management

  • Oversee and ensure the accurate and timely management of all member and school billing and collections processes, prepared and supported by staff, using ShulCloud.
  • Support grant management processes, including tracking, compliance, and reporting.
  • Collaborate on fundraising initiatives with staff and lay leadership, supporting financial sustainability.
  • Monitor compliance with licenses, insurance policies, and regulatory filings, ensuring timely renewals. Escalate out-of-budget requests to the Board when necessary.

Spend Management

  • Approve expenditures and oversee spending requests through the Ramp Spend Management system, ensuring alignment with budgets.

  • Oversee payroll processing, including onboarding, offboarding, and pay runs in ADP Workforce.
  • Provide financial guidance to staff and monitor adherence to departmental budgets.

  • Collaborate on fundraising initiatives with staff and lay leadership, supporting financial sustainability.

Facilities Operations Responsibilities

  • Oversee maintenance and use of the Temple facility, ensuring all activities align with the congregation’s mission and purpose.
  • Maintain building systems and grounds in proper working order, ensuring safety, cleanliness, and aesthetic appeal.
  • Supervise care and security of religious articles and spaces.
  • Manage third-party vendors for facility repairs and improvements, including HVAC, plumbing, electrical, and landscaping.
  • Ensure security by coordinating third-party services and recommending enhancements to the Security Committee and Board as needed.
  • Facilitate administrative and logistical support for holidays, festivals, and events, including set-up and break-down.
  • Collaborate with the Temple caterer to schedule events, oversee daily school and camp lunches, and ensure timely payment processing.
  • Maintain compliance with city codes and regulations, fostering positive relationships with government agencies.

Qualifications

  • Strong interpersonal skills to work effectively with clergy, staff, lay leadership, and congregants.
  • Proven ability to manage and prioritize multiple tasks, balancing short- and long-term responsibilities.
  • High level of discretion, professionalism, and maturity in handling sensitive matters.
  • Bachelor’s Degree required; Master’s Degree or MBA preferred.
  • Demonstrated expertise in financial and budgeting practices, including managing budgets of $1M+.
  • Familiarity with systems such as Microsoft365, ADP Workforce, Ramp Spend Management, QuickBooks, and ShulCloud are highly desirable.
  • Minimum of 5+ years of experience in finance and operations management, preferably in a non-profit or congregational setting.
  • Knowledge of Jewish rituals, practices, holidays, and life-cycle events, with an understanding of Reform Judaism preferred.
  • Availability to work evenings, weekends, and Jewish holidays as needed.

Compensation and Benefits

  • Hours: Full-time with some flexible scheduling but shall include some required evening, weekend, and Jewish holiday work.
  • Salary: $75,000–$95,000, commensurate with experience.
  • Benefits: Health insurance, retirement with employer match, and paid vacation, complimentary congregation membership, and professional membership association dues reimbursement.
