Department Summary:

The Community Organizing and External Relations (COER) Division is instrumental in amplifying UJA’s impact by fostering strategic relationships with key stakeholders, including elected officials, government entities, community organizations, and foundations. COER’s areas of work are: 1) Engage and mobilize the Jewish Community 2) Build strategic relationships: political, civic, faith and foundation leaders 3) Advance advocacy and policy priorities 4) Combat antisemitism. Through innovative partnerships and targeted initiatives, COER positions UJA as a thought leader and pivotal player in addressing contemporary communal challenges.

Position Summary:   

The Planning Coordinator will be responsible for supporting the Director, Foundation Partnerships and the Managing Director, Strategy for Combating Antisemitism on strategic initiatives and special projects. This includes planning COER programs, such as convenings and committee meetings, assisting with grants, budgets and data management, and liaising across multiple departments within UJA and externally. This role will require excellent communication skills, requiring correspondence with senior professionals within UJA and external professionals, including major donors and foundations and UJA grantees. The activities of these teams are fast-paced, dynamic, and relationship-driven - the Planning Coordinator will need to be proactive, able to adapt quickly to shifting priorities, and highly organized.

Major Responsibilities:

Support the Foundation Partnerships Team:

  • Schedule and provide administrative and logistical support for external meetings, group meetings, programs, and convenings.
  • Oversee the invitation process for convenings and meetings, including coordinating with Marketing, compiling invitation lists, scheduling reminders and thank you emails, and collecting RSVPs.
  • Maintain all aspects of the department's relationship management systems which includes contact lists, grant tracking, and gift tracking.
  • Coordinate with colleagues in other departments to source relevant information for grant proposals and other external facing materials.

 

Support the Combating Antisemitism Team:

  • Schedule and coordinate committee meetings, group meetings, programs, and convenings.
  • Oversee grants coordination, including communication with grantees, managing the booking process, onboarding new grantees to internal systems, executing contracts, and working with new vendors.
  • Assist with project management: coordination and scheduling, documentation, communication and budget management

 

Support for the Community Organizing and External Relations (COER) Team:

  • Schedule and provide administrative support for COER team meetings.
  • Coordinate and provide logistical and administrative support for COER convenings and programs

Competencies/Experience:

  • At least two years of related work experience.
  • Familiarity with the general makeup of the Jewish community in New York.
  • Ability to communicate clearly with various stakeholders.
  • Strong problem-solving skills and ability to take initiative to ensure tasks get completed successfully.
  • Superior attention to detail and ability to juggle multiple projects and competing priorities in a fast-paced environment.
  • Highly organized, efficient, and able to create and maintain systems that facilitate departmental management
  • Excellent relationship building and interpersonal skills and positive attitude
  • Bachelor's degree preferred
  • Full working knowledge of Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, Teams and SharePoint

Salary Information:

The salary range for this role is $52,000 - $55,000, based on experience and qualifications.

TIME OFF

We offer a generous number of vacation days and have the Jewish holidays off as well. Fridays our offices close early (October to March at 3:00 pm and April to September at 4:00 pm). All so you can relax and recharge.
