Congregation Or Shalom, a warm and inclusive community in Vernon Hills, Illinois, is excited to welcome a friendly, experienced Education Coordinator to our team. In this role, you will be supporting the Director of Lifelong Learning and provide general administrative support in our office. The ideal candidate will be highly self-motivated, meticulous, compassionate, and will be comfortable working in a collaborative environment. Due to the nature of this part-time position (24 hours weekly), and the need to provide support while school is in session, you must be available to work in-person at Congregation Or Shalom at the following times:
- Wednesday: 1pm – 8:30pm (7.5 hours)
- Sunday: 7:30am – 1pm (6.5 hours)
- M/Tu/Th/F: 10 hours, distribution of hours flexible during regular business hours
RESPONSIBILITIES
School Administration:
- School Community Engagement & Culture: Support creating a joyful, relational, and child-centered experience for our J² PreK – 12th grade school students and families. Contribute to a welcoming and inclusive staff culture, both within J² and at Or Shalom.
- Teacher & Classroom Support: Help teachers and madrichim (assistant student-teachers) with supply requests, photocopies, and operational support during school hours, including support on digital platforms (ZOOM, Google Drive).
- School Office Supervision: Administer the school office during school hours, supervising office madrichim and providing support and guidance as needed.
- School Registration, Attendance, Reporting, & Class Rosters: Implement the registration process for school programs & events using the ShulCloud platform, ensuring all necessary forms are completed and recorded. Keep accurate and up-to-date records of student enrollment and class assignments. Track and do outreach for school event participation.
- School & Parent Communication: Manage communication with parents through email, text, phone, and social media platforms, including responding to inquiries and providing relevant information to teachers as needed.
- Financial Administrative Support: Assist in managing budget to track expenses, submitting receipts, invoices, and reimbursement requests, assist with faculty contracts and processing monthly payroll.
- School Event Support: Support supplemental J² programming, such as grade-led Shabbat services, holiday programming, and community events.
- Youth Advisor Support: Provide administrative support to the Youth Advisor, assisting with program coordination and communication.
- Temple Office Support: Greet everyone who walks through our doors with kindness; manage the flow of guests and groups in the building as needed. Respond to incoming calls and emails thoughtfully and professionally; communicate messages to staff for prompt follow-up.
- Additional school administrative tasks as needed.
ESSENTIAL SKILLS AND EXPERIENCE:
- Experience working with children, teens, and families
- Proactive self-starter who is flexible, organized, and extremely adept at multitasking while working in a fast-paced, constantly evolving work environment
- Brings ingenuity, flexibility, warmth, grace under pressure, and exceptional interpersonal skills; able to effectively interface with our staff and community
- Experience in a religious education and/or youth program environment in a program support role preferred
- Ensures the integrity of the community calendar relating to all programs and events, in coordination with other staff
- Ability to implement and oversee systems with attention to detail; ability to work independently; resourceful and takes initiative
- Ready to reprioritize at a moment’s notice, when there is an emergency or issue that needs attention
- Excellent written and verbal skills
- Expert level proficiency in Microsoft Office (Word, Excel, Outlook) and experience with Google, data management software, and/or a CRM system preferred; must be computer savvy and possess the ability to learn new programs quickly

- The hourly range is $20-$25/hour and is commensurate with experience

Congregation Or Shalom is nestled in the heart of the northwest suburbs of Chicago, at 21 W Hawthorn Parkway, Vernon Hills, IL. This in-person position requires work on some Jewish holidays, occasional Shabbatot (some Friday nights), and most Sundays from September – May.
