JOB TITLE: Audio Visual and Hybrid Systems Coordinator

STATUS: Non-exempt 

HOURS OF WORK:  

Between January and April 2025, this position is part-time at 20 hours/week. 

Starting in May 2025, the position is Full Time at 40 hours/week.

Summary 

The Audio Visual (AV) and Hybrid Systems Coordinator is responsible for managing, maintaining, and optimizing the Temple’s AV, Hybrid (meetings, learning), and streaming technology to ensure seamless operations. The person in this position collaborates with event coordinators, technical teams and staff to implement solutions that meet organizational needs. 

 

Key Responsibilities 

Hybrid learning and conferencing: 

  • Troubleshoot issues in real-time to ensure smooth operation during hybrid learning and meetings. 
  •  Assist in setting up and managing online events (Zoom, Teams, Streaming) as needed. 
  •  Conduct regular checks of all hybrid equipment to maintain functionality and resolve potential issues proactively. 

Onsite hardware and software support:  

  • Provide software support for existing platforms, ensuring user training and encouraging platform adoption. 
  • Oversee new staff onboarding: device setup, systems orientation, and Q&A. 
  • Support the rollout of new systems: develop expertise, document policies, provide staff training, and offer continued support (examples include Microsoft Bookings and Loop). 

 

Hardware 

  • Collaborate with staff to balance technology resources between home and Temple workspaces. 

 

Document management: 

  • Lead the design and development of a staff intranet on Teams/Sharepoint, working closely with a cross-functional staff committee and the Director of Technology. 

 

Requirements 

Skills and Responsibilities: 

  • Maintain clear business process documentation including practices and policies 
  • Motivate and engage teams across multiple departments 
  • Prioritize business process optimization and alignment 
  • Ensure appropriate training is available on all business platforms 
  • Communicate with Director of Technology on an ongoing basis to identify issues, risks, and opportunities with system adoption 
  • Serve as subject matter expert, providing technical and analytical guidance to the program teams

  • Analytical Problem-Solving: Quickly assess issues as they arise, diagnose root causes, and implement effective solutions under pressure, especially during live events or meetings. 
  • Adaptability and Quick Learning: Demonstrate an ability to quickly understand, master, and support new technologies and systems, incorporating new tools as they’re introduced to the organization. 
  • Technical Curiosity: Maintain a keen interest in emerging AV and hybrid technologies, staying updated on best practices and actively seeking opportunities to enhance system functionality. 
  • Process Improvement Mindset: Consistently evaluate current processes and systems for efficiency, suggesting and implementing improvements to optimize hybrid learning and conferencing setups. 
  • Clear Communication and User Guidance: Translate complex technical concepts into simple, accessible language for users, empowering staff to use systems confidently and independently. 
  • Time Management and Prioritization: Effectively manage time, prioritizing tasks based on urgency and importance, particularly during peak activity periods when multiple support needs may arise. 
  • Documentation and Knowledge Transfer: Document processes and solutions thoroughly, creating a resource library to support staff and ensure continuity of knowledge across the team.

  • Work seated at a computer and assisting on site during events, per business needs.
