Job Opening: Accounting Manager

Job Summary: The Jewish Publication Society, a renowned publication house that has published great Jewish books since 1888, is looking for an Accounting Manager to oversee its record-keeping, financial operations, and administrative needs. This hybrid, 28-hour a week position is based in the vicinity of Philadelphia and requires regular upkeep of JPS’s mailbox and physical holdings, located at Gratz College. JPS is looking for an employee who is conscientious, detail-oriented, and takes the initiative to streamline processes and maximize our efficiency. The Accounting Manager will report directly to JPS’s Director.

Specific Experience and Educational Requirements: Strong proficiency in all office computer software, including Microsoft Office Suite (Access, Word, PowerPoint, and Excel), QuickBooks and Google Workspace (Gmail, Calendar, Drive, Chat). Minimum three years working and management experience in all areas of responsibility.

I. Finance

Accounts Payables and Receivable

  • Record and manage accounts payable and accounts receivable
  • Process 1099 forms
  • Prepare deposits, provides back-up for making deposits to the JPS bank account
  • Perform monthly cash receipts entry in general ledger
  • Process and reconcile credit card charges and check deposits with the JPS bank statements

Payroll and Other Payment Processing Functions (Human Resources)

  • Manage payroll by reporting information to payroll company, including tracking vacation/personal time
  • Manage online payment processing and liaise with payment processing vendor

 General Ledger and Reports

  • Implement account analysis and regular updates on general ledger accounts
  • Enter monthly investment figures
  • Prepare annual budget for board approval
  • Update actuals monthly; send quarterly reports to Director and biannual reports to the board’s finance committee

Bank Accounts and Record Keeping

  • Update restricted funds spreadsheet when restricted donations come in
  • Ensure that the correct amount of funds are in our Restricted Funds account
  • Employee record keeping, new hires W-4, I-9 etc, send year end W-2’s
  • Maintain retirement plan
  • Prepare for audit
  • Manage end of year financial reporting and tax documentation

II. Donor Relations and Development

  • Send acknowledgment notes to donors who send checks by mail
  • Update database of donors and their contact information
  • Learn the use of Donor Snap to record donor information into Donor Snap and maintain Donor Snap records
  • Prepare, print, and mail campaign letters for JPS’s fundraising campaigns
  • Mail new JPS books to a list of partners and foundations
  • Update mailing list and using mail merge for campaigns
  • Support Director in maintaining relationship with donors and foundations

III. Operations and Administrative Duties

  • Provide general administrative support to the Director, such as formatting and mailing letters
  • Update book collections by sending new JPS books to our collection spaces
  • Update archives at Temple University
  • Handle issues related to operating contracts
  • Manage office organization and upkeep, office supplies inventory
  • Check mail and stops by office at least once a week
  • Deposit checks at bank regularly  
  • Field general phone calls
  • Arrange for bi-annual in-person board meetings
