HEA Preschool Program and Operations Coordinator 

 

Job Description:

The Hebrew Educational Alliance is seeking dynamic and creative individuals of all faiths to join our administrative team at HEA in the role of Preschool Program and Operations Coordinator. The Preschool Program and Operations Coordinator will fulfill the dynamic role of both supporting the administrative needs of our school and families in collaboration with our Co-Directors as well as supporting our students and classrooms in a classroom position across age levels when needed. The ideal candidate is passionate about early childhood education, flexible, organized, technologically skilled, and professional.

Our approach to education emphasizes and utilizes a constructivist play-based educational philosophy. We value learning through play using activities and materials that encourage creativity, self-expression, inquiry and wonder while seamlessly integrating Jewish values and identity. 

 

Administrative Tasks:

  • Welcome guests, families and children into the building daily with support from the on-site security guard. Respond to questions and inquiries about the preschool and the wider HEA community in person, over phone, and through email in a professional manner that establishes and nurtures positive relationships with parents and community members.
  • Maintain staff and children’s files in accordance with state ECE Licensing requirements. Apply understanding of rules and regulations to support classroom readiness for licensing visits. 
  • Navigate the PDIS system to support and maintain staff accounts.
  • Apply understanding of ITERS/ECERS-3 to support classrooms to maintain best ECE practices and support rating process.
  • Manage parent and staff platforms, Brightwheel Community App and ShulCloud, to maintain communication and records with families and staff. 
  • Implement school safety practices and drills.
  • Manage organized shared spaces. Work closely with the synagogue’s Education Director and Director of Operations to ensure that classroom spaces are clean, well maintained, and respected for multiple uses.
  • Order and plan for school food needs, including hot lunch and snacks. 
  • Purchasing classroom supplies and outdoor materials, as needed.

 

Program Tasks

  • Create and manage afternoon enrichment programming and late care. 
  • Plan for and provide coverage for classrooms when needed (i.e. teacher breaks, extra support, teacher absence).
  • Create and implement routines and schedules for playground and indoor play spaces, accounting for weather related changes.  
  • Research and schedule PD opportunities for faculty in collaboration with Co-Directors.
  • Support and/or facilitate Jewish holiday celebrations and rituals, such as Havdalah and Shabbat. 
  • Support staff in curriculum development and implementation in alignment with school philosophy.
  • Support the Pre-K team in graduation and end of year celebrations.
  • Prepare for and attend monthly evening or daytime staff meetings.
  • Support both Preschool and wider HEA Family Programming as available.
  • Work collaboratively with Co-Directors to support additional tasks at hand.

 

The Preschool Program and Operations Coordinator may be asked to take on additional responsibilities, as needed, to meet the dynamic needs of the school and students.

 

Minimum Qualifications 

Physical Requirements:

  • Must be able to lift a minimum of 30 pounds
  • Comfortable going outside in various types of weather
  • Ability to effectively communicate with parents, staff, and HEA staff in person or on the telephone 
  • Bending at the waist, kneeling or crouching to interact with children and to carry out various administrative tasks

 

Education and Experience

  • Bachelor’s Degree preferred 
  • Minimum of three years’ experience working in early childhood education setting
  • Minimum credential 3.0 level 3 in PDIS 
  • Valid First Aid and CPR Certification issued by an authorized agency

Other requirements:

  • Strong interest in early childhood education and dedication to supporting both children and families
  • Relates well to children
  • Excellent written and verbal communication skills
  • Strong interpersonal, organizational, and time management skills
  • Proficiency with Brightwheel system (or comparable system), Excel, and Microsoft Word, Google, and computer navigation skills
  • Understanding of community/synagogue environment
  • Alignment with preschool’s play-based philosophy, mission and vision
  • Maintains confidentiality, uses professional discretion, and maintains appropriate professional relationships with directors, staff, parents, and board members
  • Works well as part of a team

 

Salary and Benefits

Pay scale: $51,000 - $54,500  based on experience
