Congregation Beth Or is seeking a highly experienced and organized individual who is proactive, an intuitive problem solver, and a collaborative team player. This full-time role includes supporting our clergy team and serving as the initial point of contact between our congregants and our clergy. The ideal candidate will be a quick learner, self-motivated, able to juggle multiple tasks, and dedicated to provide outstanding customer service to our families. 

 

Essential job responsibilities include:

Coordinate clergy schedules and arrange appointments
Collect and maintain life cycle information from families, including births, weddings, bar/bat mitzvah, Confirmation, deaths, etc.
Handle administrative tasks related to life cycle events, including congregational notifications
Manage memorials and dedication plaques
Draft and send weekly congregational email to communicate ritual events
Schedule emails to Bar/Bat Mitzvah families
Oversee administrative responsibilities for High Holy Days and other holidays
Prepare weekly Shabbat leaflets and pulpit sheets
Maintain clergy relational management notes
Send clergy communications to congregants

Provide mentorship and guidance to junior administrative staff

• Proactive approach with the ability to anticipate clergy needs 
• Meticulous attention to detail, accuracy, and excellent proof-reading skills
• Capability to manage multiple tasks, set priorities, work independently, and efficiently follow through on programs and projects
• Adaptable and flexible
• Proven ability to collaborate effectively with others
• Understanding of the importance of confidentiality
• Proficiency in using Microsoft Office applications, including Microsoft Word, Excel, and Outlook
• Proficiency and interest in learning and utilizing CRM database management systems (e.g. ShulCloud) and current applications (e.g. Zoom)

  • Demonstrated leadership skills and ability to manage and mentor junior staff

Minimum of 5 years of relevant experience preferred; demonstrated experience in successfully working with individuals. Excellent interpersonal, written and oral communication skills; Knowledge and understanding of Judaism and Jewish culture, customs, holidays, and familiarity with the needs of a Reform Jewish congregation.
