We are seeking a motivated, detail-oriented, and tech-savvy individual to serve as the Office and Operations Administrator (O&OA) at our charitable non-profit synagogue in Cedarhurst, Long Island. The O&OA will collaborate closely with the Executive Director and other staff members to ensure smooth day-to-day odperations. The ideal candidate will be organized, customer-service driven, and adept at communicating effectively with both staff and congregants, ensuring a welcoming environment where the community's religious, social, and communal needs are met proactively.

 

Position Overview: We are seeking a motivated, detail-oriented, and tech-savvy individual to serve as the Office and Operations Administrator (O&OA) at our charitable non-profit synagogue in Cedarhurst, Long Island. The O&OA will collaborate closely with the Executive Director and other staff members to ensure smooth day-to-day odperations. The ideal candidate will be organized, customer-service driven, and adept at communicating effectively with both staff and congregants, ensuring a welcoming environment where the community's religious, social, and communal needs are met proactively.

Key Responsibilities:

  • Reception: Oversee front desk operations, including answering phone calls, managing entry via buzzer, and greeting walk-in visitors. Address inquiries and direct them to the appropriate parties as needed.
  • Weekly Bulletin: Work with the Executive Director and rabbis to compile and produce the synagogue’s weekly printed and digital communications.
  • Calendar Management: Manage maintenance and event booking calendars. Coordinate maintenance staff schedules, Simcha requests, event agreements, security access, vendor coordination, and communicate with stakeholders to ensure seamless event execution.
  • Accounts Receivable/Payable Support: Assist the Executive Director and bookkeeper with weekly accounts payable reports, data entry into ShulCloud, and clerical support for QuickBooks payments.
  • Shul Communications Management: Ensure accurate contact information in the ShulCloud database, collaborate with the Executive Director on communications, and manage all synagogue mailings.
  • Website and Social Media: Maintain the synagogue’s website and social media presence, including Facebook and other platforms (e.g., WhatsApp groups), ensuring relevant and timely content is shared.
  • Graphic Design & Marketing: Assist in the creation of promotional materials such as posters, flyers, and social media ads, ensuring consistency in branding and effective program marketing.
  • Supply Management: Coordinate with the maintenance team to manage office, janitorial, and food supply inventory and reorder as needed.
  • Miscellaneous Administrative Support: Provide general administrative support for the Executive Director, committees, and board members as required.

Qualifications:

  • Strong understanding of Jewish rituals, life cycle events, holidays, and customs.
  • Excellent interpersonal and communication skills, both oral and written, with the ability to manage multiple priorities in a fast-paced environment.
  • High proficiency in Microsoft Office (Word, Excel), QuickBooks Online, Canva, MS Publisher, WhatsApp, and ShulCloud (preferred).
  • Strong attention to detail, excellent proofreading and grammar skills.
  • Ability to work effectively with clergy, staff, and volunteers to meet deadlines and execute tasks efficiently.
  • Community College or College experience in office administration or related field is an asset.

Additional Information:

  • Duration: Full-time (with early Friday and Jewish holiday closings)
  • Salary Range: $50,000 - $75,000, commensurate with experience (partial Healthcare benefit coverage will be available)
  • Preferred Experience: 2+ years in a similar role
