Operations Manager

Role Overview

Make your mark on Jewish student life by joining Hillel at Temple University as the Operations Manager. You’ll power Hillel by your oversight of our building, The Rosen Center, along with our financial and human resource systems.

In this position you will enable us to improve our stewardship of the Rosen Center: a multi-story facility built in 2009 which includes a cafe, a separate kitchen, offices and program spaces. In addition, you will help oversee our human resource and financial systems, in collaboration with our Executive Director and Finance Committee.

What You’ll Do

• Financial Oversight and Management:
• In collaboration with our Finance Committee, evaluate, improve and manage our bookkeeping, accounting, and auditing processes and reporting.
• Process invoices, reimbursements, payments, and ensure proper documentation.
• Track and report on financial metrics and provide operational data for grant reporting.
• In collaboration with our Development Director, evaluate, improve, and manage our gift processing, record-keeping, and reporting.

• Facilities and Building Management:
  • Oversee all aspects of the management of the Rosen Center, including:
  • Oversee building maintenance, including repairs, utilities, and security.
  • Coordinate with vendors for cleaning, safety inspections, and other facility needs.
  • Ensure compliance with health, safety, and accessibility regulations.

• Administrative and Operational Oversight
  • Develop and maintain operational policies and procedures to improve efficiency.
  • Oversee administrative functions, including office management and supply procurement.
  • Manage contracts and vendor relationships.
  • Coordinate procurement and management of IT hardware and software.
  • Foster best practices to ensure data security and confidentiality.

• Human Resources Administration
• Support recruitment, onboarding, and training of staff and volunteers.
• Maintain employee records and ensure compliance with labor laws and organizational policies.
• Oversee employee benefits administration and payroll coordination.

On a day-today basis you will

• Conduct the usual aspects of daily financial management, such as invoicing, bill-paying, account reconciling, coding expenses, producing finance reports, and reviewing financial statements.
• Manage payroll and benefits
• Provide support for audits and tax compliance.
• Work with the Finance Committee on budgeting and reporting to the Board of Directors.
• Provide development support through gift processing, record-keeping, and overseeing Temple University pass-through donations.
• Provide on-site building management by ensuring timely maintenance and repairs, supervising cleaning and other outside services, reviewing insurance coverage, overseeing the functioning of the kitchen and the cafe.
• Work with the Executive Director and University Police to ensure the security needs of the students, staff and building are up-to-date and well-functioning.
• Work with the Executive Director to promote best practices regarding cybersecurity.
• Work with the Board Task Force on building rental opportunities and contracts.

What You’ve Accomplished

• Bachelor’s/associate’s degree in finance, accounting, or equivalent experience.
• 3+ years of experience in office management, finance, HR, and operations
• Track record of excellence in financial management.
• Track record of excellence in Human Resource management. 
• Track record of excellence in building management.

What You’ll Receive

• Competitive salary in the nonprofit marketplace. The salary range for this role is $45,000-$55,000.
