RELIGIOUS SCHOOL OFFICE  ASSISTANT & REGISTRAR

Location: Temple Rodef Shalom 

Reports to: Religious School Director

Status: Full-time, Non-exempt 

Background: 

Temple Rodef Shalom is a large, vibrant, warm Reform Jewish congregation located in the Northern Virginia suburbs just outside Washington, DC. Since our founding in 1962, we have grown into the largest Jewish congregation in Virginia, serving over 1,750 households. We serve 200 families in our Early Childhood Center, nearly 800 students in our Religious School, 300 children in our Day Camp and hundreds of people each week who walk through our doors to pray, sing, learn, connect and mark life cycle moments. The Religious School Office Assistant and Registrar plays a critical role in ensuring that our amazing Religious School program, runs smoothly and efficiently.

Essential Responsibilities:  

Registrar duties

  • Design and manage online school enrollment process using our databases, Regpack and ShulCloud: setting quotas, tracking enrollment, etc.
  • Manage billing: Track all revenue and expenses to ensure proper accounting in partnership with Temple finance team: scholarship adjustments, payment processing, installment billing, and applying discounts and credits.
  • Create enrollment reports, class lists and track attendance in both Regpack and Google Drive.
  • Respond to questions from prospective and current families.
  • Communicate with families throughout the registration process and throughout the year regarding payments and school updates.

Office Duties

  • Provides ongoing clerical, organizational, and operational support to Religious School team
  • Prepare and send Religious School communications.
  • Complete coding of credit card charges monthly.
  • Record and keep track of office budget.
  • Prepare and send monthly tuition payment reports to finance department.
  • Assist with scheduling and coordinating room requests and set-ups.
  • Create and update Religious School calendars in coordination with Temple calendar.
  • Maintain Religious School information on Temple website.
  • Prepare faculty contracts, collect and maintain employment paperwork, and process background checks.
  • Track faculty attendance and prepare payroll monthly.
  • Manage incoming and outgoing mail.
  • Inventory and order supplies from vendors.

Core Competencies and Required Skills

  • Strong organizational skills, attention to detail and follow-through.
  • Excellent written and verbal communication skills, able to connect with diverse personalities.
  • Self-motivated, proactive, takes initiative as part of the Religious School team.
  • Comfortable and calm in a fast-paced, collaborative environment.
  • Sensitive to confidential information and able to exercise discretion.
  • Proficient in Microsoft Office (Word, Excel, Powerpoint, Sharepoint) and Google Suite; comfortable using a range of technology (Zoom, databases like ShulCloud, social media).
  • An understanding of synagogue life, Jewish holidays and customs a plus.
  • Warmth, love of children, a good sense of humor and flexibility are a must!

Education and Experience

  • 1-2 years relevant experience preferred; experience in a customer service-related role a plus.
  • Associates degree required; four-year college degree preferred.

Additional Requirements

  • Must be able to work Sundays as required during the academic year (about half the year, off on Mondays those weeks)
  • Ability to sit at a desk doing computer work/answering phones for 3-5 hours at a time
