Position Summary

The Director of Operations & Facilities is a key member of the administrative team, responsible for overseeing the operational, human resource, and facility management functions of Congregation Beth Jacob. This role ensures the smooth running of synagogue operations, efficient coordination of events, and upkeep of the building and grounds. The ideal candidate will have a combination of strategic thinking, organizational skills, and hands-on management experience.

Monday through Friday with some occasional weekend work required.

 

Key Responsibilities

Operations & Event Management

· Develop and maintain the master calendar for synagogue events, education programs, and facility use.

· Coordinate logistics for community programs, lifecycle events, High Holy Days, and other synagogue activities.

· Manage vendor relationships, including catering and event services, ensuring high-quality experiences.

· Collaborate with clergy, lay leaders, and staff to optimize space usage and event planning.

· Lead weekly staff calendar reviews to ensure clear communication of upcoming events.

Human Resources

· Oversee HR administration, including maintaining personnel files, managing employee benefits, and onboarding new staff.

· Ensure compliance with labor laws and organizational policies.

· Support staff development through training and performance reviews.

Facilities Management

· Supervise the maintenance and upkeep of the building, grounds, and equipment.

· Develop and manage the facilities budget, including maintenance, repairs, and security.

· Coordinate with contractors and vendors for facility improvements and repairs.

· Implement and oversee security plans in collaboration with the Security Task Force.

Administrative Operations

· Serve as the main point of contact for business support systems, including IT, security, and office equipment.

· Coordinate the acquisition, donation, and disposal of synagogue assets as needed.

· Provide institutional knowledge and support to committees and task forces, including running reports and attending meetings.

 

Supervisory Responsibilities

· Supervise the Events Coordinator and Maintenance Staff.

· Provide direction, coaching, and performance evaluations to ensure team success.

· Establish annual goals and accountability measures for supervised staff.

 

Qualifications

· Bachelor’s degree required; advanced degree preferred.

· 5+ years of experience in facilities operations or management, or non-profit operations. Background in operations in a house of worship or community center a strong plus.

· Proven ability to manage multiple priorities, complex calendars, budgets, and cross-functional teams

· Innately flexible and able reprioritize as operational needs shift

· Strong interpersonal skills with a collaborative and culturally sensitive approach.

· Proficiency with technology, including Microsoft Office, Google Workspace, and synagogue management software (e.g., ShulCloud).

· Excellent verbal and written communication skills.

· Knowledge of Jewish traditions and synagogue life is a strong plus.

· Prior people management experience, particularly directing staff and managing vendors

 

Physical & Working Conditions

· Ability to work at a computer for extended periods and attend meetings lasting up to 8 hours.

· Occasional evening and weekend work required.

· Valid driver’s license and access to a vehicle for offsite errands or meetings.
