The Jack, Joseph and Morton Mandel Foundation is seeking an Operations Associate at the Mandel Institute for Nonprofit Leadership in Brookline, Massachusetts. The Operations Associate will play a pivotal role in ensuring the success of our leadership development programs by providing comprehensive operational support and coordination. Key qualifications include proficiency with technology and digital platforms, skill in administrative coordination and financial management, and a desire to support a mission-driven organization.

 

Key Responsibilities:

 

Financial Management

  • Processes invoices and reimbursements for faculty, mentors, fellows, and other consultants.
  • Supports contracting process for consultants and external partners.
  • Manages financial processes, including reconciling monthly expenses, conducting quarterly budget spending reports, and supporting annual Institute-wide budget process.

 

Institute and Program Operations

  • Manages travel and hotel arrangements for program candidates and seminar participants from across the United States and Canada.
  • Provides logistical support to all programs during Boston-based seminars and bi-annual graduate convenings.
  • Manages graduate directory, Institute contact lists, and correspondence for the Institute general inbox.
  • Oversees day-to-day office operations, including supplies, equipment, and maintenance.
  • Provides scheduling support for senior team and manages calendar for internal staff meetings.
  • Serves as primary point of contact for guests visiting the Boston office.

 

Audio Visual and Technical Support

  • Manages audio-visual equipment and technology for seminars and meetings, ensuring seamless functioning and optimal experiences for in-person, hybrid and remote convenings.
  • Coordinates with Foundation IT Department to purchase new equipment, manage software and digital tool licenses, and troubleshoot technology issues.

 

Qualifications:

  • Bachelor's degree with high academic achievement.
  • Excellent organizational and administrative skills, with the ability to manage multiple projects simultaneously.
  • A keen attention to detail in all aspects of professional work.
  • A team-oriented mindset and ability to work collaboratively with colleagues, program participants, and organizational stakeholders.
  • Demonstrated ability to work independently and take initiative, with a proactive approach to problem-solving.
  • Proficiency in Microsoft Office and a demonstrated ability to adapt to new business and educational software platforms.
  • Prior experience with financial and project management is highly desirable.
  • Preference for candidates with knowledge of or interest in Jewish nonprofit, educational and cultural fields served by Mandel programs.

 

The Operations Associate will report to the Associate Director and work collaboratively with other members of the Institute's professional team. They will interact with Mandel Institute fellows, graduates, faculty members, mentors, outside vendors, and the broader Mandel Institute community.

 

The position is full-time and based in person, with the option to work remotely up to two days per week. Qualified applicants must reside within a reasonable commuting distance from the Mandel Institute office in Brookline, Massachusetts. Annual salary is competitive, within a range of $55,000 - $65,000 depending on qualifications and experience, and the position includes a comprehensive benefits package (outlined below).
