Job Title: Office Manager
Location: Suburban Torah (SSTC), Livingston, NJ

About Suburban Torah Congregation (SSTC):
Synagogue of Suburban Torah Center (SSTC) is a vibrant and welcoming modern Orthodox Jewish synagogue in Livingston, NJ, committed to fostering a warm, inclusive environment that promotes spiritual growth, community involvement, and Jewish learning. We are seeking a dynamic, organized, and reliable individual to join our team as an Office Manager.

Position Overview:
The Office Manager at SSTC will be responsible for managing the day-to-day operations of the synagogue’s office, providing organizational support, and serving as the primary point of contact for congregants and visitors. The Office Manager will oversee communication efforts, maintain the synagogue’s calendar, assist with event coordination, and provide administrative assistance to ensure the smooth functioning of the congregation.

Key Responsibilities:

    1. Office Support & Administration:
      • Manage the daily operations of the synagogue office, including answering phone calls, emails, and handling general inquiries.
      • Ensure efficient operation of office systems and processes, including maintaining files, records, and supplies. Order supplies as needed.
      • Handle membership inquiries, updates, and billing information, ensuring accurate records are kept.
      • Coordinate with Bookkeeper on all billing, deposits and payments, as well as any other finance and accounting matters.
    2. Communication & Correspondence:
      • Serve as the primary point of contact for congregants and community members.
      • Liaise with the synagogue Rabbi, President, Board, bookkeeper and other staff and volunteers on open issues.
      • Draft and send regular communications (e.g., weekly newsletters, emails) to keep the community informed about synagogue activities, events and updates.
      • Coordinate the dissemination of important announcements via digital platforms (website, social media) and physical means (bulletins, flyers).
      • Assist in fostering a welcoming atmosphere for new members and guests.
    3. Synagogue Calendar Management:
      • Oversee and manage the synagogue calendar, ensuring all events, services and programs are scheduled accurately.
      • Coordinate with clergy, staff, and volunteers to schedule special programs, classes and events.
      • Ensure that all logistical needs for events and services (room bookings, set-up, etc.) are met.
    4. Event Support & Coordination:
      • Assist with the planning, coordination and execution of synagogue events, holiday programs, and community gatherings.
      • Coordinate weekly synagogue post-service gatherings.
      • Work closely with committee members and volunteers to provide support for event logistics, guest lists and supplies.
      • Provide administrative support during events to ensure their smooth execution.
  • Building 
    • Coordinate building scheduling and ensure appropriate building setup and room usage.
    • Schedule and communicate with vendors, contractors and custodial services.
    • Maintain contact information of vendors and building maintenance contracts and records.

Qualifications:

  • Prior experience in office management, administrative support, or event coordination; preferably in a religious or non-profit organization.
  • Excellent organizational, time-management and multitasking skills.
  • Strong verbal and written communication skills, with the ability to interact effectively with a diverse community.
  • Proficiency in Microsoft Office Suite, ShulCloud and experience with synagogue management software a plus.
  • Ability to work independently, prioritize tasks and maintain confidentiality.
  • A warm, friendly and professional demeanor with a commitment to excellent customer service.
  • Knowledge of Orthodox Jewish customs and traditions is preferred, but not required.
  • Must be legally eligible for employment in the U.S.

Schedule & Compensation:

  • Full-time position, primarily on site, Monday through Friday, with occasional evening and weekend availability as required for events and services.
  • Paid Jewish and most Federal holidays and short Fridays to accommodate for Sabbath.
  • Salary based on experience, with paid time off.
