As an integral member of the Teva Administrative Team, the Schools and Programs Coordinator ensures smooth programmatic and operational logistics, internal and external communication, and scheduling.  

About Teva

Teva, powered by Adamah, aims to inspire environmental awareness and activism and engage youth in Jewish culture and tradition. Since 1994, Teva has been developing the field of Jewish Enviromental Education. Our four-day Shomrei Adamah program provides transformational experiences in nature for Jewish day school students. Teva educators are sought as an asset in staffing work in the Jewish communal field, and are often inspired to careers in environmental, outdoor, farming, and Jewish communal leadership roles. Teva has served over 450 day-schools, congregations, camps, JCCs, youth groups, and other institutions spanning all Jewish denominations including secular and interfaith groups. 

The Schools and Programs Coordinator is the leader for a variety of core systems at Teva, including student registration and forms, school contracts and billing, and coordinating in-season operations including housing, food service with the Pearlstone Campus and Isabella Freedman Jewish Retreat Center staff.  The coordinator reports to the Teva Director, works closely with other departments within Adamah, and is a core member of the Teva leadership team. This position is based at the Isabella Freedman Jewish Retreat Center in Falls Village, CT.   

Key Responsibilities: 

  • Partner with Teva Director to oversee the Teva Day School Program and the Teva Educator Fellowship. 
  • Oversee school scheduling, communications, participant forms, and billing.
  • Support maintenance and supervision of program finances, including budgeting, tracking spending, and buying, ordering, and restocking materials. 
  • Maintainprogram databases and keep all files and folders, including archives, organized and updated.
  • Coordinate program set-up, food service, housekeeping, and lodging with relevant staff at the Pearlstone Campus and Isabella Freedman Jewish Retreat Center. Lead the interfacing with the hospitality department, including managers of housekeeping, kitchen and maintenance. 
    • Coordinate housing logistics on a campus with over a dozen housing options, in collaboration with the Registrar and Hospitality department.
    • Communicate key dietary information with culinary department promptly and advocate for participant needs and request. 
    • Synthesize participant form information and distribute it to the relevant department.
    • Manage staff forms and paperwork.
    • Set staff schedules, track hours, and coordinate with HR. 
  • Oversee programmatic preparation of the site for the week, manage systems to ensure the success of the programming materials set-up and take-down, and cleaning after the program week.  
  • Ensure all safety plans and emergency procedures are up-to-date and support the Teva Director in maintaining best practices and staying in compliance with all legal requirements.  

Qualifications:   

  • Genuine enthusiasm for working with children and schools. 
  • Demonstrated skill in marketing, communications, and sales
  • Strong communication and teamwork skills: must be able to work as part of a close-knit, interdependent team. 
  • Excellent executive functioning and project management skills. Ability to work independently and find solutions.
  • Ability to discern and put immediate needs of students first at all times.  

General: 

  • It is everyone’s job to ensure the financial health of the organization through retreat sales, program revenue, and/or fundraising.
  • Attend weekly department meetings.
  • Attend monthly all-staff meetings.
  • Must possess a solid work ethic with strong organizational and time-management skills, excellent attention to detail, professional verbal, and written communication skills in English, as well as provide excellent customer service. 
  • Must maintain a professional demeanor. 
  • Must be able to adapt to changing situations.
  • Other tasks/duties as assigned.
