Description

As the primary point of contact, you will be responsible for assisting the Rabbi, front office operations, coordinating lifecycle events and assisting administrative staff and committees. The ideal candidate will excel in delivering exceptional customer service to members and visitors, serving as a friendly, professional point of contact both in-person and over the phone. Your ability to take initiative and be flexible in a fast-paced environment will make you an invaluable part of our team. Knowledge of Jewish tradition is a strong plus.

Assisting the Rabbi

  • Correspondence: Handle correspondence for the Rabbi.
  • Scheduling: Assist with Rabbi’s scheduling including lifecycle events.
  • Additional support: Provide additional support as needed/requested.

Front Office Operations

  • Phone and office management: Serve as the friendly face at our "front desk," handling calls to our main line, managing emails sent to the general inbox, and addressing or forwarding all inquiries and requests.
  • Member/Prospective Member support: Assist new and existing members by providing detailed information about services, programs, activities, and campus procedures.
  • Record and database management: Maintain accurate and up-to-date records for membership, donations, and community events.
  • Generating reports: Create, process, and manage reports related to lifecycle events within the synagogue community.
  • B’nai Mitzvah: Maintain the B’nai Mitzvah calendar, assist in scheduling B’nai Mitzvah dates for congregants and schedule meetings with the Rabbi. Other duties associated with B’nai Mitzvah program.
  • Weekly Shabbat Duties: Sanctuary set-up, yahrzeit list, memorial lights, Board Host reminders and announcements, oneg set-up, staff one Shabbat service per month.

Programs Support

  • B’nai Mitzvahs: Staff B’nai Mitzvah’s on Saturdays
  • Community Events: Work with lay leaders in organizing community events which also includes being present to help staff and work the event.
  • High Holy Days: Assist in the execution and be present at all the High Holy Days services and events.
  • Weekly Shabbat Services: Coordinate, shop, prepare and staff Shabbat services and onegs.

Skills and Abilities

  • Knowledge of Jewish tradition is a strong plus.
  • Proficient in G-Suite and other industry standard software
  • Strong organizational skills with a keen attention to detail, ensuring accuracy and efficiency in all tasks.
  • Self-motivated and collaborative with ability to work independently and seamlessly contribute to team efforts.
  • Effective multitasking and time management managing multiple tasks simultaneously and efficiently.
  • Exceptional communication skills: Clear and concise in both written and verbal interactions.
  • Adaptability and being comfortable with multi-tasking priorities and thriving in a fast-paced, dynamic work environment.
  • Administrative support experience: Proven ability in assisting with office operations, calendar scheduling, and supporting team members to achieve organizational goals.

The position is full-time Monday thru Friday 9:00 am-5:00 pm. Some adaptability with schedule is required to accommodate hours to staff events, B’nai Mitzvahs, fundraisers, High Holy Days, etc.
