Overview

 

The Congregational Administrative Manager (CAM) is the friendly, tech-savvy, helpful liaison between Beth Am’s 3,000 congregants, dozens of active congregant-led clubs and initiatives, our wonderful staff, and all the rich opportunities for congregational life. The CAM schedules all room reservations and rentals, including collecting and organizing payments and contracts.

 

Sitting in Beth Am’s administrative office, this in-person role is a warm first point of contact and resource for congregants and visitors. The CAM also takes the lead in organizing support vendors for ongoing congregational operations, including security personnel, our facilities team, and other supply vendors.

 

The position is full time, in person, and reports to the Executive Director.

 

Compensation

 

  • $65,000 - $75,000 annual salary, depending on experience
  • Vacation, sick time, 403(b) contribution, and health benefits available

 

Responsibilities of this position include:

 

  • Managing scheduling for group meetings with staff: emailing, organizing, using digital scheduling tools.
  • Administrative support for large congregational events, including organizing meal catering, and logistics for weekly oneg shabbat refreshments
  • On-site support of Executive Director
  • Teamwork and “cross training” with other office administrative tasks
    • Preparing digital and print lifecycle programs and administrative documents for clergy leading lifecycle events
    • Sending congregational emails relating to lifecycle events
    • Shulcloud database management, support, and updating
    • Congregational tech support - helping congregants sign in, sign up for events, navigate ShulCloud
  • Managing facilities reservations and rentals: Answering questions, following up with inquiries, and collection of contracts and payment.
  • Organizing support vendors for ongoing congregational operations
    • Ensuring security is scheduled for all large events on campus
    • Maintaining a list of vendors for party rentals, florists, caterers, etc. and ordering for congregational use as needed
    • Coordinating with on-site facilities team to ensure all spaces are prepped and ready for reserved events.
  • Front office presence and general administrative work
    • In-person and on-phone first impression for visitors and congregants: greeting, helpful information, proper direction
    • Mastery of Microsoft office suite and its Google counterparts, especially Excel and Sheets.
  • Supporting smooth event function all year. Minor tech fixes and set ups for in-person congregant meetings and events, as requested
  • Other duties as assigned
    • Preparing event supplies, mailings, etc.
    • Must be able to carry and walk with 20 lbs in boxes or supplies
