Position Summary: We are seeking a highly organized and proactive Executive Assistant to provide exceptional administrative support to the Assistant Executive Director. This role will primarily focus on operations within the Development Department with some responsibilities in supporting the Assistant Executive Director’s role in the Executive Office. The ideal candidate will play a critical role in ensuring smooth day-to-day operations, maintaining accurate records, and fostering positive relationships with internal and external stakeholders.

 

Key Responsibilities:

 

  • Administrative Support:
    • Provide comprehensive administrative assistance to the Assistant Executive Director.
    • Manage schedules, coordinate meetings, and prepare necessary materials.

 

  • Correspondence Management:
  • Handle internal and external correspondence for the Development department with professionalism and attention to detail.

 

  • Record Keeping:
  • Maintain accurate and up-to-date records of stewardship activities.
  • Track and report charitable contributions, ensuring data integrity and accuracy.

 

  • Confidentiality:
  • Uphold trust by handling sensitive information with utmost confidentiality.

 

  • Project Coordination:
  • Coordinate and assist with additional projects and responsibilities as assigned by the Assistant Executive Director.

 

  • Guest and Member Relations:
  • Welcome guests and members by greeting them in person or on the telephone.
  • Answer and direct inquiries related to the department in a courteous, professional and timely manner.

 

Qualifications:

  • Proven experience in an administrative or executive support role, preferably in a non-profit or development environment.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management systems.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Friendly and professional demeanor with excellent interpersonal skills.
  • Bachelor’s degree or equivalent experience preferred.
