About Maccabi USA: Maccabi USA is a leading organization dedicated to enhancing Jewish identity and building connections through athletic and cultural programs. As we prepare for the 2025 Maccabiah Games in Israel, we are looking for a dynamic and resourceful Program Assistant to support our Games team.

Position Overview: We are seeking a proactive and detail-oriented Program Assistant to join our team. This role will focus on recruitment, administration, and logistics for the 2025 Maccabiah Games. The ideal candidate will thrive in a fast-paced environment, demonstrate strong organizational skills, and excel in both independent and team settings.

Primary Responsibilities:

• Team and Sports Management: Coordinate coach appointments, recruitment, tryouts, meetings, payments, and reimbursements for multiple sports and teams in collaboration with volunteer leadership.

• Marketing and Communication: Create professional marketing materials, emails, and press releases in for specific teams.

• Data Entry Support: Assist with data entry during peak collection periods.

• Relationship Building: Help cultivate new relationships and identify potential donors.

• Logistical Coordination: Assist with the coordination of team travel arrangements, including flights, accommodations, and ground transportation.

• RootOne Grant Administration: Manage and administer Root One grants, including tracking applications, processing reports, and ensuring compliance with grant requirements.

• Administrative Support:

o Assist delegation members with peer-to-peer fundraising pages and track their progress.
o Manage applicant status notifications and communications.
o Contact team members regarding missing or incorrect information in the form management system.
o Serve as the primary US point of contact during the Maccabiah Games, addressing inquiries and supporting public relations efforts.
o Assist with flight deviation requests and apparel fulfillment for online store and shipments.

Qualifications/Skills/Experience:

• Bachelor’s degree required; preferred undergraduate majors include Sports Management or Non-Profit Management.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office applications.

• Experience with CRM databases.

• Strong ability to work independently and as part of a team on multiple projects.

• Adaptability to change in a fast-paced environment.

• Effective problem-solving skills and solution-oriented mindset.

• Exceptional people and phone skills.

• High energy, ambition, and willingness to contribute at any level.

• Availability for occasional travel and night/weekend meetings.

• Prior experience in a not-for-profit organization is preferred.

• Knowledge of Hebrew or familiarity with Israeli culture is a plus.

ABOUT THE MACCABIAH The 2025 Maccabiah Games are the world’s second largest international sporting event and will consist of over 10,000 athletes from 80 countries participating in over 40 different sports. The Maccabiah Games is more than an international sporting competition; it is a celebration of Jewish culture, unity and pride. Israel Connect, Maccabi USA’s unique cultural and educational program takes place for seven days prior to the start of the Games. All Junior, Open and Paralympic athletes participate in the program and have the opportunity to tour historical and religious sites, take part in cultural identity seminars and train with their teams, all while developing lifelong relationships.  The first Maccabiah was held in Israel in 1932 with athletes from 18 countries. Traditionally held every four years, the games have only been interrupted twice in its 90+ year history: by the Second World War and more recently due to the COVID-19 pandemic. In July 2022, Maccabi USA sent its largest-ever delegation of more than 1,300 to Israel (larger delegation than the traditional USA Olympic Team).
