Summary  

In accordance with established procedures, service standards and CJE mission, the Resource Development Associate plans and conducts key tasks relevant to the Resource Development Department, specific to Development and Board Engagement. This position requires effective communication and organization skills, and attention to detail.

 Essential Duties and Responsibilities include the following. Other duties may be assigned.

Development (75%)

  • Enter all gifts, pledges, pledge payments, and other financial transactions into Raiser’s Edge with timeliness, accuracy, and diligence.
  • Process payment types including checks, cash, credit cards, wire transfers, stock, matching gifts, and in-kind donations.
  • Ensure contributions are entered according to donor designation including soft credits and other information vital for recognition and stewardship.
  • Maintain data accuracy within Raiser’s Edge, including consolidating duplicate records and ensuring quality data entry for all donors and prospects.
  • Prepare and mail all corresponding donor acknowledgement letters and tax forms, if applicable, with the appropriate signature or handwritten note and/or tribute card(s).
  • Reconcile with the Finance team monthly to ensure records are complete and accurate in Raiser’s Edge and accounting system.
  • Support the Director of Development in various aspects of the annual gala as needed including tracking all Ad Book sales in, pre- and post-event planning, entering and tracking donors in the Event module in Raiser’s Edge, entering gala guests in GiveSmart, and attend monthly committee meetings as schedule allows.
  • Assist with gala set-up, registration, guest services, and clean-up.
  • Support stewardship for smaller events (such as Coast-to-Coast and Donor Recognition), including attendance/RSVP’s, guest outreach, preparing materials and name badges, and inventory management.
  • Address inquiries from donors and prospects promptly and effectively.
  • Provide support for additional development-related administrative tasks (lists, reports, etc.).

Board Engagement (25%)

  • Coordinate and collaborate with Manager of Board Engagement to:
    • Organize and finalize Board and Committee Meeting logistics, including material distribution, room reservations, supply oversight and ordering, A/V set-up, and RSVP list confirmation.
    • Create and implement a file naming system for all Board Materials in SharePoint.
    • Manage and update the Master Board Calendar to accurately reflect the dates, times, and locations of all Board and Committee Meetings.
  • Serve as point for the Annual Meeting, including securing the venue, catering services, audiovisual equipment, decorations, and other necessary resources, under the direction of the Manager of Board Engagement and in collaboration with the Marketing Department.
  • Serve as point for implementing Board Effect, a portal software designed to improve Board communication efficiency. This includes attending training courses, providing recommendations, and creating a Best Practices manual to which Board Members and CJE Staff can refer.

  • Payroll, credit card, and expense reporting and processing
  • Document formatting and maintenance
  • CAR form processing
  • Organizing workstations for new employees
  • Reviewing/training new employees on Raiser’s Edge
  • Donation processing and follow-up
  • Serve as point of contact between the Resource Development Department and the Concierge Desk

 Education and/or Experience   

  • Bachelor’s Degree Preferred
  • 2+ years of database management & other relevant administrative experience
