Jewish National Fund-USA seeks a Business Manager (Executive Office Manager) to be responsible for supporting our C-suite and the JNF House. This position will be based out of Jewish National Fund-USA's NYC office.
Job Responsibilities:
- Support the CEO and the C-Suite with:
- Calendar management including internal and external meetings, and other appointments.
- Managing travel, including booking through travel agent or directly.
- First point of contact for internal and external constituents.
- Manage onsite meetings/events including negotiate/execute/coordinate event logistics (timeline, catering, A/V, music, rentals, script, etc.) for JNF House.
- Responsible for budget creation for events, obtaining budget approval and adherence to approved budgets.
- Manage Manhattan National Office's calendar.
- Manage JNF House rentals and work with facilities team on all apartment logistics.
- Work with Salesforce including data entry, analyzing and pulling reports
- Coordinate and run in-house technology for in-person event and meeting AV and virtual program operations, including stage management, Zoom Meetings and Webinars, hybrid events as needed.
- Keep event details up to date in Salesforce and Wrike.
- Working with the facilities team to purchase and coordinate logistics, food, A/V, and security for all JNF house meetings.
- Create cultural and holiday events, for all staff based out of the Manhattan National Office.
- Ensure processing of payments to vendors and streamline billing for C-Suite.
- Build relationships with suppliers.
- Ensure compliance with insurance, legal, health and safety obligations at JNF House events.
- Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
- Coordinate workflow for Assistants.
- Ability to work nights and weekends as needed.
- Any other duties assigned by your supervisor.
Qualifications:
- Strong technical skills including Salesforce or other database.
- Strategic, out-of-the-box thinking a must.
- Be extremely detail oriented and able to multi-task in an exceptionally busy environment.
- Pro-active and energetic; ability to work on own with minimal daily supervision.
- Thrive in a fast-paced, collaborative environment with a high-volume workload often requiring short turnaround times.
- Be a team player with a "customer service" mentality and ability to work with many people and personalities.
- A "no job is too small" attitude and willingness to roll up your sleeves to get the job done.
- 5+ years Business experience
- Bachelor's degree preferred
